apply today!Job Title: Dealership Office Manager Job Summary We are seeking an experienced Office Manager to oversee the administrative, financial, and compliance operations of our independent auto dealership and service department. You will handle full-charge bookkeeping, deal processing, and service repair order invoicing. This role requires mastery of QuickBooks and experience running weekly payroll via ADP. You will also manage vehicle inventory and sales data inside our dealership management system (DMS). This is a floor-plan-free operation focused on clean, efficient workflows. [1, 2, 3, 4, 5] Key Responsibilities Financial & Bookkeeping (QuickBooks & ADP)

● Full-Charge Bookkeeping: Maintain the general ledger, process accounts payable/receivable, and execute daily bank reconciliations inside QuickBooks.

● Weekly Payroll Administration: Calculate sales commissions, track hourly service department timecards, and run weekly payroll accurately via ADP.

● Financial Reporting: Prepare accurate monthly financial statements and daily operating control (DOC) reports for ownership. [6] Dealership Operations & Deal Processing (DMS)

● Deal Auditing: Review and finalize all sales and finance paperwork inside the DMS to ensure complete accuracy.

● Title & Registration: Process state title work, handle lien payoffs, and manage vehicle registration tracking.

● Inventory Management: Enter newly acquired vehicles into the DMS, track reconditioning costs, and manage vehicle cost basis. Service Department Administration

● RO Processing: Audit and close out service repair orders (ROs) to ensure correct parts margins and labor hours.

● Service Billing: Reconcile customer pay, internal reconditioning bills, and third-party extended warranty claims.

● Parts Invoicing: Post vendor parts invoices to the correct accounts and track parts department inventory values. [7] Office Management & Compliance

● Regulatory Compliance: Maintain dealership licensing, local business permits, and secure consumer privacy standards (FTC Safeguards Rule).

● Vendor Management: Act as the primary point of contact for utility vendors, IT support, and office suppliers.

● Staff Supervision: Oversee and train front-desk or administrative staff to maintain excellent customer service. Qualifications & Skills

● Experience: Minimum 3–5 years of automotive dealership office management experience. ● Software: Expert-level proficiency in QuickBooks and the ADP payroll platform. Experience using standard dealership management systems (DMS).

● Industry Knowledge: Deep understanding of independent dealership title laws and service department workflows.

● Skills: Strong organizational skills, high attention to numeric detail, and ability to multitask in a fast-paced environment. [8] Compensation & Benefits
