Purchasing, Procurement & Warehouse Specialist

Design Firm is seeking a detail-oriented and highly organized Purchasing, Procurement & Warehouse Specialist to oversee purchasing, inventory management, and warehouse operations for our interior design projects. This position is responsible for sourcing furniture, lighting, décor, artwork, and project materials while ensuring inventory is accurately received, organized, tracked, and prepared for installation.

Primary ResponsibilitiesPurchasing & Procurement
- Source furniture, furnishings, lighting, artwork, accessories, textiles, and project materials from approved vendors and manufacturers.
- Create, issue, and manage purchase orders from initial order through final delivery.
- Monitor production schedules, lead times, shipping status, and backorders.
- Coordinate with vendors regarding pricing, availability, freight, and delivery schedules.
- Negotiate pricing and shipping costs when appropriate.
- Resolve damaged shipments, shortages, warranty claims, and purchasing discrepancies.
- Verify invoices against purchase orders and receiving documentation.
- Maintain vendor pricing, catalogs, and purchasing records.
- Research new products, vendors, and sourcing opportunities.
- Assist with project budgets by identifying cost-saving opportunities while maintaining quality standards.
Warehouse & Inventory Management
- Receive, inspect, and document incoming furniture, accessories, and project materials.
- Maintain an organized, clean, and efficient warehouse.
- Accurately label, store, and organize products by project.
- Maintain inventory records and conduct routine inventory counts.
- Track inventory movement and update inventory management systems.
- Prepare products for delivery and installation by verifying project completeness.
- Coordinate deliveries to job sites and installation teams.
- Identify damaged or missing items and coordinate replacements with vendors.
- Maintain warehouse safety standards and organization.
Project Coordination
- Work closely with interior designers, project managers, installers, and logistics personnel.
- Track procurement schedules to ensure products arrive on time for project installations.
- Communicate order updates, delays, and shipping changes to project teams.
- Assist with scheduling deliveries and coordinating warehouse logistics.
Administrative Responsibilities
- Maintain organized purchasing and inventory records.
- Utilize Microsoft Excel and inventory management software to track purchasing and inventory.
- Generate purchasing and inventory reports.
- Support continuous improvement of procurement and warehouse processes.
- Perform additional operational and administrative duties as assigned.
Qualifications
- Experience in purchasing, procurement, warehouse management, inventory control, or supply chain management.
- Experience within the furniture, interior design, construction, architecture, or hospitality industries is strongly preferred.
- Strong proficiency with Microsoft Excel and Microsoft Office.
- Excellent organizational and multitasking abilities.
- Strong communication and vendor relationship management skills.
- Ability to prioritize multiple projects and deadlines.
- Strong analytical and problem-solving skills.
- High attention to detail and accuracy.
- Ability to lift up to 50 pounds.
- Forklift experience.
- Valid driver's license
