The Chief of Staff serves as a strategic partner to executive leadership and is the operational backbone of our growing organization. As we scale across approximately 1,700 units throughout Tennessee, Alabama, and Georgia, this role ensures company priorities are executed consistently by driving cross-functional initiatives, optimizing systems, standardizing processes, and keeping leadership aligned on the organization's most important objectives.
This is a remote opportunity for a seasoned multifamily professional who has successfully managed communities and is ready to make an impact across the entire organization. You'll serve as an extension of executive leadership, overseeing strategic initiatives, improving operational efficiency, managing company-wide projects, and ensuring teams have the tools, systems, and processes needed to succeed.

Qualifications
- Prior experience as an On-Site Community Manager is considered an advantage.
- Minimum of 5+ years of experience in property management, with a strong emphasis on multi-site operations, organizational leadership, process development, or system administration.
- Previous experience in a corporate leadership role.
- Strong proficiency in ResMan, EliseAI, and Google Workspace (Gmail, Meet, Drive, Gemini, etc.) is highly preferred. Experience with alternative property management software and enterprise platforms will also be evaluated.
- Comfort using AI tools (such as Claude and ChatGPT) to develop documentation, analyze data, improve communication, and streamline operations.
- Exceptional organizational, communication, and executive-level project management skills.
Key ResponsibilitiesExecutive Operations & Strategic Execution
- Partner directly with executive leadership to drive strategic priorities and ensure company initiatives are executed successfully.
- Coordinate and manage cross-functional projects from planning through implementation and adoption.
- Track organizational priorities, deliverables, and accountability across departments.
- Identify operational bottlenecks and recommend scalable solutions that improve organizational performance.
- Prepare reports, presentations, dashboards, and executive updates to support leadership decision making.
- Facilitate communication and alignment between departments to ensure organizational objectives remain on track.
Process Standardization and Optimization
- Implement, maintain, and continuously improve Standard Operating Procedures (SOPs) across the organization.
- Lead operational initiatives from scoping through implementation, training, and adoption tracking.
- Analyze existing workflows to identify inefficiencies, automation opportunities, and process improvements.
- Partner with department leaders to identify opportunities for further centralization and operational efficiencies.
- Monitor adoption of standardized processes across all communities and departments.
- Collaborate with regional and on-site leadership while maintaining company-wide consistency.
- Take ownership of additional strategic initiatives as the organization continues to grow.
Technology and Systems Management
- Serve as a strategic owner and Subject Matter Expert (SME) for company systems and operational platforms, including ResMan, EliseAI, and other business technologies.
- Oversee system configuration, user access, integrations, and data integrity across company platforms.
- Partner with leadership to evaluate, implement, and optimize new technology, automation, and AI solutions.
- Coordinate system improvements and technology rollouts to maximize efficiency and user adoption.
- Conduct company-wide training on new systems, operational procedures, and best practices.
Property Onboarding and Organizational Growth
- Oversee operational onboarding of newly acquired or transitioned properties, ensuring seamless implementation of company systems and standards.
- Coordinate cross-functional transition activities including system setup, data migration, reporting, and operational readiness.
- Ensure new communities are fully integrated into company processes with minimal disruption.
- Support executive leadership during acquisitions, integrations, and organizational growth initiatives.
Leadership Support and Organizational Development
- Serve as a trusted advisor and strategic resource for executive leadership.
- Provide operational guidance and support to regional managers, property managers, and corporate teams.
- Create and maintain organizational documentation, training materials, SOPs, and internal resources.
- Support onboarding and professional development initiatives across the organization.
- Assist leadership in developing scalable organizational structures and operational best practices.
