Sales Operations Coordinator
Position Summary
We are seeking a highly organized, detail-oriented Sales Operations Manager to oversee the operational lifecycle of client projects - from order entry and production through delivery, installation, invoicing, and project closeout.
Serving as a central point of coordination between clients, sales, designers, manufacturers, vendors, logistics partners, and accounting, this role ensures projects are executed accurately, efficiently, and with an exceptional level of service.
The ideal candidate thrives in a fast-paced, high-end design environment and is proactive, solutions-oriented, and comfortable managing complex orders, logistics, financials, and client service issues.
Key Responsibilities
Sales Operations & Logistics
- Manage client orders from entry through production, shipment, installation, invoicing, and closeout.
- Track production schedules, lead times, WIP, and COM/COL status to ensure timely fulfillment.
- Coordinate freight, receiving, warehousing, delivery, installation, repairs, and punch-list items.
- Maintain accurate product, pricing, costing, vendor, inventory, and order information within Studio Designer and related systems.
- Manage inventory allocations, warehouse transfers, consignment inventory, and related transactions.
- Build strong relationships with manufacturers, vendors, freight providers, receivers, and warehouse partners while monitoring performance and timelines.
Client & Project Management
- Serve as a key operational point of contact for clients, sales, designers, vendors, and internal teams throughout the project lifecycle.
- Proactively communicate project status, identify potential delays, and resolve issues before they impact the client
experience.
- Manage complex customer service issues, including product damage resulting from freight, delivery, or installation, coordinating claims, repairs, replacements, and other resolutions with clients and appropriate partners.
- Investigate and resolve order discrepancies, chargebacks, claims, and other exceptions with a strong sense of ownership and urgency.
- Maintain organized project documentation and ensure clear communication and accountability across all parties.
Financial & Process Management
- Monitor purchase commitments, deposits, project costs, freight charges, and overall financial performance.
- Prepare client invoices, support accounts receivable collections, and coordinate vendor invoices and accounts payable with accounting.
- Reconcile project costs and billing discrepancies and maintain accurate supporting financial documentation.
- Produce project financial reporting, including budget updates, profitability analysis, and job costing.
- Develop and improve operational workflows, procedures, and systems to increase efficiency, strengthen controls, and improve project execution.
Qualifications
- 3+ years of experience in sales operations, project coordination, logistics, procurement, or project accounting, preferably within interior design, luxury furnishings, architecture, construction, or hospitality.
- Experience with Studio Designer or a comparable ERP, order management, or project management system.
- Strong proficiency in Microsoft Excel and Google Workspace.
- Working knowledge of purchase orders, inventory, freight logistics, project accounting, AP/AR, and job costing.
- Demonstrated ability to manage vendors, logistics partners, and complex client service issues.
- Exceptional organization, attention to detail, problem-solving skills, and follow-through.
- Excellent written and verbal communication skills with the ability to manage multiple priorities and collaborate effectively across teams.
Preferred Qualifications
- Experience in luxury residential or commercial interior design or high-end furnishings.
- Knowledge of FF&E; procurement and order-management processes.
- Familiarity with white-glove receiving, delivery, installation, damage claims, and warehouse operations
Pay: $55,000.00 - $60,000.00 per year
