FRONT OFFICE COORDINATOR

Please Note: We are seeking a committed and loyal team member with long-term administrative and patient experience aspirations.

Smith Cosmetic Surgery is a facial plastic surgery practice founded around a simple principle, providing an exceptional patient experience through unmatched patient care.

As the first point of contact for patient interactions, this individual sets the tone for the entire Smith Cosmetic Surgery experience. We believe first impressions matter, and this is one of the most important positions in our practice.

Responsibilities

Welcome and direct patients in a way that ensures a positive first impression
Direct providers on patient readiness to maintain a timely schedule and a smooth office flow
Answer incoming phone calls and texts to schedule consultations, non-surgical procedures, and follow-up appointments.
Efficiently manage patient check-in and check-out.
Maintain accurate patient records using Patient Now EMR and other office software.
Perform administrative tasks including filing, scanning, data entry, payment collection, and other front office duties.
Carry forward the established patient inquiry follow-up program to encourage and support a prospect to schedule a consultation.
Maintain a clean, organized, and professional workspace.
Assist with daily office operations and contribute in a positive, team-oriented way.

Ability to remain calm and composed in a fast-paced, high-volume environment.
Strong multitasking, prioritization, and organizational skills.
Excellent attention to detail.
Self-motivated with the ability to work independently and solve problems proactively.
Previous experience in plastic surgery, aesthetics, medical, dental, concierge, luxury hospitality, or other high-end customer service environments is strongly preferred.
