Full Job Description

Overview

We are seeking a friendly and detail-oriented Office Assistant to join our team and help keep our daily operations running smoothly. This role offers an exciting opportunity for someone who would like to work for a small business, have variety in their everyday tasks, and a good work-life balance. As an Office Assistant, you will work with our office manager 3-4 days per week, 8 hours per day, to help ensure efficient management of administrative tasks, perform simple accounting support for everyday business transactions, foster positive customer interactions, and maintain a professional and welcoming environment. We are a small electrical contracting company with dedicated electricians, apprentices, and office support staff who work every day to power homes and businesses.

Responsibilities

Participate in front desk operations, including greeting visitors, answering phone calls, and typing notes to put on our board about jobs to complete for customers
Communicate with our office manager about customer requests/service calls
Utilize QuickBooks for basic bookkeeping tasks, such as creating deposits, tracking expenses with receipts and invoices, and adding to the new items, customers, & suppliers lists
Pick up and mail letters at the post office and bring deposits to the bank
Perform data entry using sales tax spreadsheets, Microsoft Office applications, and our suppliers' websites
Occasionally assist with ordering supplies online, such as paper or sticky notes
Pay statements from local businesses in person with the company card
Occasionally contact business partners via email for our office manager and owner

Requirements

Orientation to detail, especially with numbers
Ability to read closely and type accurately
Experience with using computer applications and search engines, such as Google, Outlook, and Microsoft Office Suite (Word, Excel, PowerPoint)
Computer literacy with the ability to learn new software quickly
Strong organizational skills with the ability to prioritize tasks effectively
Communication skills for interacting with customers and other employees positively
Experience with phone communication etiquette
Demonstrated customer service skills with a friendly and professional demeanor
Skills in accounting or small business management optional but are highly preferred
We will provide raises on an ongoing basis for excellent work
Personal assistant experience or office experience is a plus but not required; training will be provided for the right candidate.
