Patient Experience Coordinator Job Description

Position Summary:

The Patient Experience Coordinator is the cornerstone of our patient journey, providing a seamless, elevated, and personalized experience from the very first interaction to post-procedure follow-up. This role requires a professional who embodies the poise, discretion, and attention to detail of a five-star hospitality environment, such as a luxury hotel or spa, and applies it within a medical setting. The coordinator ensures that every patient feels valued, understood, and cared for while facilitating operations efficiently.

Key Responsibilities:

1. Patient Engagement and Concierge-Level Service

- Serve as the primary point of contact for patients, providing warm, personalized communication via phone, email, text and in-person interactions.

- Answer incoming calls and return missed calls quickly and with a smile.

- Guide patients through the entire care journey, from initial inquiry, consultations, procedure preparation, and follow-ups.

- Anticipate patient needs and provide proactive solutions to enhance comfort, convenience, and satisfaction.

- Maintain confidentiality and professionalism at all times.

2. Scheduling and Coordination

- Efficiently manage appointment scheduling for consultations, procedures, and follow-ups, ensuring optimal use of provider and facility time.

- Coordinate with clinical and administrative teams to facilitate seamless patient flow.

- Track patient progress, outstanding tasks, and necessary documentation to ensure nothing is overlooked.

-Manage incoming surgical referrals and assignments.

3. Operational Excellence and Communication

- Ensure all patient communications are timely, accurate, and reflective of the practice's elevated standards.

- Maintain organized patient records, documentation, and follow-up tasks within the EMR system.

- Identify process improvements to enhance patient satisfaction, workflow efficiency, and overall practice performance.

- Work collaboratively with providers and team members to address patient concerns or special requests and projects.

4. Representation of Practice Values

- Serve as the embodiment of the practice's mission: Artistic, Authentic, Approachable, and Adaptable.

- Deliver a consistent, exceptional, and memorable experience that reflects a high-end,

concierge-style standard.

Desired Qualifications:

- Minimum 2-3 years of experience in luxury hospitality, concierge services, or patient-facing roles in a medical or aesthetic practice.

- Exceptional interpersonal and communication skills; ability to anticipate needs and provide solutions proactively.

- Strong organizational skills with attention to detail and accuracy.

- Proficiency with electronic medical records (EMR), scheduling software, multiple platforms running at one time, Microsoft office, ShareDrive, Teams, and standard office technology.

- Poised, professional, and adaptable personality with a genuine desire to enhance patient

experience with a smile.
