Full Job Description

The Program Coordinator is responsible for the daily coordination and successful operation of aquatics and youth sports programs. This position provides leadership for lifeguard operations, swim lessons, and sports programming by ensuring a safe, welcoming, and high-quality experience for members and participants. The Program Coordinator supports staff recruitment, training, scheduling, supervision, program quality, and member engagement while living the YMCA's mission and values of Caring, Honesty, Respect, and Responsibility.

Lifeguard Operations

Assist with the supervision and daily operation of all aquatic facilities.
Recruit, hire, onboard, train, schedule, and evaluate lifeguard staff.
Ensure compliance with YMCA, state, local, and health department regulations.
Conduct regular lifeguard observations, drills, and performance coaching.
Verify completion of required certifications and training.
Assist with emergency action planning, incident documentation, and follow-up.
Ensure daily completion of water quality testing, facility inspections, and safety documentation.
Monitor staffing levels and coordinate shift coverage.

Swim Lessons

Coordinate all group and private swim lesson programs.
Recruit, train, schedule, and supervise swim instructors.
Ensure instructors follow YMCA curriculum and teaching standards.
Monitor class quality through regular observations and coaching.
Manage class rosters, participant placement, and instructor assignments.
Respond to parent questions and resolve concerns professionally.
Evaluate program effectiveness and recommend improvements.

Youth Sports

Coordinate seasonal youth sports leagues, clinics, and instructional programs.
Recruit, train, and support coaches, officials, and volunteers.
Develop practice and game schedules.
Ensure equipment is maintained and facilities are prepared.
Promote sportsmanship, inclusion, and participant development.
Assist with program registration and participant communication.

Staff Leadership

Assist in recruiting, interviewing, hiring, onboarding, and retaining staff.
Provide ongoing coaching, recognition, and accountability.
Conduct staff meetings and in-service trainings.
Support employee engagement and professional development.
Model exceptional customer service and leadership.

Member Experience

Build positive relationships with members, participants, and families.
Address concerns promptly using a member-focused approach.
Promote YMCA programs and encourage member participation.
Help create a welcoming, inclusive, and safe environment.

Administrative Responsibilities

Maintain accurate records, certifications, attendance, and reports.
Assist with budgeting and expense tracking.
Monitor program enrollment and staffing ratios.
Maintain inventory of equipment and supplies.
Support marketing efforts and special events.
Complete all required reports accurately and on time.

Qualifications:

Minimum age of 21 years.
High school diploma or equivalent.
One to three years of experience supervising staff or coordinating programs.
Current YMCA or equivalent Lifeguard Certification (or ability to obtain).
Current CPR/AED and First Aid certifications.
Strong organizational and communication skills.
Ability to lead and motivate diverse teams.
Proficiency with Microsoft Office and scheduling software.

Preferred

Bachelor's degree in Recreation, Education, Sports Management, Business, or a related field.
YMCA Swim Lesson Instructor certification.
YMCA Lifeguard Instructor certification.
Experience coordinating youth sports programs.
Experience with budgeting and program management.
