Full Job Description

LEGAL ASSISTANT

Start Date: Immediately

Hours: Full-time, 8:00 a.m. to 4:30 p.m.

Compensation: Base hourly rate of $30.00; negotiable based on experience and qualifications

The office of attorney Ted H. S. Hong, located in Hilo, Hawaiʻi, is a small, fast-paced litigation law office seeking an experienced, full-time Legal Assistant to join our team. We are looking for someone who is familiar with the day-to-day operation of a law office, has prior legal-office experience, is organized and dependable, and can provide competent litigation support with appropriate direction from the attorney.

Because we are a small office, teamwork is extremely important. Although this is primarily a legal assistant position, all staff members pitch in when needed, including assisting with telephones, client intake, conflict checks, and other general office responsibilities.

Duties and Responsibilities

· Assist the attorney with the day-to-day management of an active litigation practice, including legal document preparation and processing, calendaring, filing, service, case organization, and follow-up.

· Prepare and revise routine pleadings, notices, correspondence, discovery documents, and other legal forms; proofread, format, and finalize documents for filing and service.

· Assist with the preparation and organization of discovery.

· Review incoming court filings, emails, mail, and other documents; identify deadlines or follow-up that should be brought to the attorney's attention and calendar matters as directed.

· Assist with filing and service of pleadings and other documents, including electronic filing through Hawaiʻi's Judiciary Electronic Filing System (JEFS).

· Maintain litigation calendars.

· Manage and organize electronic and physical case files, ensuring materials are properly saved, named, filed, and readily accessible.

· Assist with opening and closing matters.

· Prepare binders and other materials for hearings, conferences, depositions, trials, and appellate proceedings.

· Communicate professionally with clients, court personnel, opposing counsel, and other attorneys and offices.

· Answer and screen telephone calls and assist with prospective-client telephone intakes and conflict checks when needed.

· Assist with general office responsibilities and other duties assigned by the attorney.

Qualifications

· Minimum of two years of experience working in a law office; prior legal assistant and litigation experience preferred.

· High school diploma or equivalent required; additional education or training in legal assisting, paralegal studies, or a related field is preferred, but not required.

· Working knowledge of basic litigation procedures, court deadlines, calendaring, filing and service, discovery, and case and document management.

· Strong organizational, proofreading, and attention-to-detail skills, with the ability to prioritize assignments, recognize required follow-up, manage deadlines, and follow matters through to completion.

· Good written and verbal communication skills, professional telephone and client-service skills, and strong, accurate keyboarding skills.

· Proficiency with Microsoft Word, Gmail, Adobe Acrobat, and Windows-based computers; experience with Clio Manage and Hawaiʻi JEFS preferred.
