Full Job Description

Job Summary:

We are seeking a highly organized and friendly Orthodontic Receptionist to join our dynamic dental team. The ideal candidate will be the first point of contact for patients, ensuring that all patients receive a warm, welcoming experience and that the office runs smoothly. This position is responsible for scheduling appointments, handling patient inquiries, managing patient records, and performing other administrative duties essential to the efficient operation of the orthodontic office.

Key Responsibilities:

Greeting and Welcoming Patients:
Greet patients and visitors in a professional and friendly manner.
Ensure a positive and welcoming experience for all patients and their families.
Appointment Scheduling:
Manage and schedule appointments for patients, ensuring optimal time management for both the doctor and patient.
Confirm patient appointments in advance and handle rescheduling requests.
Monitor treatment schedules and update as necessary based on patient needs and availability.
Patient Records & Insurance:
Maintain accurate and up-to-date patient records, both digital and paper.
Verify patient insurance information and assist with billing and claims processing.
Collect payments for services rendered and handle billing inquiries.
Communication:
Answer phones, respond to emails, and address patient inquiries regarding treatments, scheduling, and office policies.
Provide patients with information about orthodontic treatments, office procedures, and financial options.
Administrative Support:
Assist with office organization and cleanliness.
Process incoming and outgoing mail.
Handle other administrative tasks as needed, including inventory management and supply ordering.

Qualifications:

High school diploma or equivalent (required).
Previous experience in a receptionist or front desk role, preferably in a healthcare or orthodontic setting (preferred).
Strong communication skills, both verbal and written.
Exceptional organizational skills with the ability to manage multiple tasks at once.
Comfortable working with computers and office software (e.g., Microsoft Office, scheduling software).
Knowledge of dental/orthodontic terminology and procedures (a plus, but not required).
Ability to maintain patient confidentiality and handle sensitive information.
