We are a modern, multi-specialty dental office located in Back Bay, Boston. Our team includes general dentists alongside specialists in orthodontics, oral surgery, and periodontics — giving our patients comprehensive, high-quality care all under one roof, and giving our front desk team a chance to work across a wide variety of patient needs and specialty scheduling in a single week.

We're a high-volume practice with a full, steady schedule — but we've built our team structure and staffing so that no one feels rushed or unsupported. Busy doesn't mean chaotic here. New hires are paired with an experienced team member who trains you hands-on, and our front office team works closely together rather than leaving anyone to figure things out alone. you'll never be thrown into something new without guidance first.

Position Overview

We are seeking a warm, organized, and detail-oriented Dental Front Desk Coordinator to be the welcoming face of our practice. You'll manage the day-to-day flow of the front office — scheduling, insurance, patient records — while helping create a smooth, positive experience for every patient who walks through our doors. This is a great opportunity for someone who wants to stay busy and keep growing their skills in a multi-specialty setting, while being part of a team that genuinely has your back.

Responsibilities

Greet patients warmly and professionally, setting the tone for a friendly, efficient front desk experience
Manage appointment scheduling using Dentrix, coordinating across general dentistry and specialty providers to keep patient flow smooth
Verify insurance coverage, perform eligibility checks, and assist with insurance claims processing
Collect payments and maintain accurate financial records in compliance with HIPAA and healthcare regulations
Review and update patient records, ensuring accuracy and confidentiality
Answer multi-line phones with excellent phone etiquette; handle patient inquiries and direct calls appropriately
Assist with patient intake, documentation review, and organized filing of records and billing documents

Qualifications

Prior experience in a dental or medical front desk role preferred — we are willing to train the right candidate on the job
Experience with Dentrix a plus, or willingness to learn
Familiarity with dental insurance verification and billing practices a plus
Excellent customer service skills with the ability to communicate warmly and clearly, in person and by phone; bilingual abilities are a plus
Comfortable handling sensitive information with discretion, in line with HIPAA regulations
Strong organizational skills and attention to detail
Comfortable with Microsoft Office (Word, Excel)
A positive, team-oriented attitude and genuine interest in supporting patients
