The Accounting Clerk performs various accounting, administrative and customer service tasks to assist with the smooth operation of the organization. This role will serve as a primary receptionist to our offices, greet customers, support office operations and business event planning.
Primary Job Functions
- Perform accurate and timely data entry into accounting software and financial systems.
- Assist with accounts payable by entering vendor invoices, matching supporting documentation, and preparing payments.
- Assist with accounts receivable by posting customer payments, reconciling accounts, monitoring outstanding balances, and following up on past-due accounts.
- Assist with payroll processing, including maintenance of time records, maintaining payroll records, and preparing payroll-related reports.
- Reconcile bank accounts, credit card statements, and other general ledger accounts.
- Process purchase orders and maintain supporting purchasing documentation.
- Process employee expense reports and maintain petty cash records.
- Process incoming email correspondence and ensure proper filing and distribution of accounting-related documents.
- Generate, review, and distribute customer invoices in a timely manner.
- Organize, scan, index, and maintain electronic and paper documents and records.
- Set up and maintain customer and vendor records within the accounting system.
- Communicate professionally with customers, vendors, and internal departments regarding invoices, payments, account balances, and routine accounting inquiries.
- Assist with inventory, purchasing, and receiving transactions by entering and reconciling related records as needed.
- Prepare spreadsheets, reports, and financial summaries for management.
- Assist with month-end and year-end closing activities, including account reconciliations and maintaining supporting schedules.
- Maintain organized accounting files and supporting documentation in accordance with company policies and record retention requirements.
- Assist with sales tax reporting and provide supporting documentation for audits and tax preparation.
- Maintain office supplies and provide general administrative support to management.
- Participate in special projects and perform other accounting and administrative duties as assigned.

Education:
Associate’s degree preferred or equivalent education and experience
Experience:
· 3-5 years of accounting administration
· Proficiency in Microsoft Office Suite
· 10 key proficient
Licenses or Certifications
· Driver’s license

Physical Requirements
Seeing: Must have close vision, distance vision, peripheral vision, depth
perception, and ability to adjust focus.
Communication: Must be able to effectively communicate with coworkers in
order to perform the requirements of the position.
Sitting: Will remain in a seated position at a desk for prolonged periods.
Fingering/Grasping/Feeling: Must be able to perform repetitive tasks with
both hands to include keyboarding, handwriting and office equipment
Standing/Walking: Must be able to move about from one area of the
workplace to another.
Climbing/Stooping/Bending/Kneeling/Reaching: Will bend, twist, squat,
stoop, kneel, crouch, and reach at or above shoulder level.
Lifting: Must be able to lift and carry objects up to 50 lbs.
Pulling/Pushing: Will transport loads of up to 50 lbs.
Work Environment: General office and shop conditions where there are
many individuals working in a shared space.
