Full Job Description

Position Summary:

The Student Account Representative is responsible for providing exceptional customer service to students, parents, and campus stakeholders regarding student account matters. This position supports the administration of student receivables, processes payments, maintains accurate account records, assists with account reconciliation activities, and works proactively with students to resolve account balances. The representative also supports institutional efforts to collect outstanding student receivables while maintaining compliance with applicable policies and regulations. In addition, this position performs limited Staff Accountant functions, primarily serving as the University's cashier, preparing deposits, and providing light support for accounts payable processes. Staff Accountant responsibilities are clerical and transactional in nature and do not include advanced accounting functions.

Essential Functions:

Maintain good customer service by being prepared to work according to established office hours. Overtime is only permitted with prior approval from the VP of Financial Services.
Schedules will be coordinated so that the Business Office has coverage at all times during the workday.
Represents the Business Office in the registration cycle, verifying that all enrolling students have appropriate means to satisfy the cost of tuition, fees, and other related charges in a manner consistent with the institution’s payment policies.
Accurately codes and inputs payments to the appropriate accounts by using the computerized accounting system.
Responsible for student billing and payment of student accounts.
Monitor accounts receivable aging reports and identify past-due student accounts requiring followup.
Contact students regarding delinquent account balances through phone calls, email correspondence, letters, and other approved communication methods.
Coordinates with the Financial Aid office for the timely and accurate application of student financial aid to student accounts.
Maintains support schedules for accounts receivable to facilitate collections procedures and measurement by management of the timeliness of accounts receivable.
Serve as the University's cashier by receiving, processing, and recording payments from students, donors, and other constituents.
Prepare and reconcile daily deposits and ensure timely submission to the appropriate financial institution.
Provide support for accounts payable functions, including reviewing invoices for completeness, obtaining required approvals, and entering invoice information into the accounting system.
Assist with maintaining organized accounts payable and cashier records in accordance with university policies.
May assist with account reconciliations and other routine accounting activities as needed.
Maintains student account confidentiality, obtaining FERPA forms when necessary.
Provides general support to other Business Office and administrative functions.

Other Responsibilities:

Observe USW vacation blackout dates.
Perform other related duties as assigned.
Participate in campus activities as available.

Education, Experience, & Skills:Required Qualifications:

High school diploma or equivalent.
Experience in customer service, cash handling, business office operations, accounts receivable,
accounts payable, or related administrative functions.
Proficiency with Microsoft 365 applications, including Outlook, Teams, Excel, Word, OneDrive, and
SharePoint.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Ability to maintain confidentiality and handle sensitive information appropriately.
Ability to prioritize tasks, meet deadlines, and work independently.

Preferred Qualifications

Associate's degree in Business, Accounting, Finance, or a related field.
Bachelor's degree in Accounting, Business Administration, Finance, or a related field preferred.
Previous experience in higher education.
Experience with Colleague ERP software.
Familiarity with accounts payable, cashiering, and basic accounting procedures.
