Full Job Description

Accounts Receivable & Administrative Assistant

McNabb Services is seeking a dependable, detail-oriented Accounts Receivable & Administrative Assistant. This position is responsible for customer invoicing, accounts receivable accuracy, billing portal management, and general office support.

Work Schedule

Monday through Friday
8:00 a.m. to 5:00 p.m.
Regular and reliable attendance is required.

Primary Responsibilities Accounts Receivable and Billing

Enter and submit invoices through QuickBooks Online and customer billing platforms.
Manage billing portals such as OpenInvoice, OpenTicket, Actian, and similar systems.
Review open invoices, open tickets, purchase orders, field tickets, and supporting documents before billing.
Confirm that invoices meet each customer’s billing requirements.
Monitor invoices for acceptance, rejection, or required corrections.
Correct and resubmit rejected invoices promptly.
Maintain accurate customer billing information, rate sheets, purchase orders, and portal records.
Assist with tracking past-due invoices and making collection calls.
Maintain organized documentation supporting all accounts receivable activity.
Ensure accounts receivable entries are complete, accurate, and compliant with company and customer requirements.
Communicate billing discrepancies, missing documentation, or collection concerns to management.
Assist with accounts receivable reports and attend meetings with management as required.

Administrative and Office Support

Answer and direct incoming phone calls professionally.
Make outgoing customer, vendor, and business-related phone calls.
Take accurate messages and distribute them promptly.
Send and respond to emails and other correspondence.
Type and prepare documents, reports, letters, and correspondence.
Check, enter, and update information in company systems and databases.
Compile and maintain records of office and billing activities.
Maintain organized electronic and paper filing systems.
Photocopy, scan, email, and fax documents.
Prepare and send outgoing mail, packages, and overnight deliveries.
Keep the office and personal workspace neat, organized, and professional.
Provide administrative assistance to management and other departments as needed.
Assist coworkers with other office tasks when primary responsibilities are current.
Perform additional duties as assigned by management.

Required Qualifications

High school diploma or equivalent.
Experience using customer billing portals such as OpenInvoice, OpenTicket, Actian, or similar systems.
Experience with QuickBooks Online is strongly preferred.
Understanding of basic accounting practices, internal controls, and accounts receivable procedures.
Proficiency in Microsoft Office, including Outlook, Word, and Excel.
Strong data-entry, typing, and computer skills.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Ability to manage multiple tasks and meet billing deadlines.
High level of accuracy and attention to detail.
Self-motivated, dependable, and able to work with limited supervision.
Professional and courteous when communicating with customers, vendors, employees, and management.
Willingness to work as part of a team and assist with changing priorities.
Ability to maintain confidentiality regarding company, customer, and employee information.

Compensation and Benefits

Medical Insurance: Provided through McNabb Services’ employee benefit plan.
Dental and Vision Insurance: Available at the employee’s cost.
Life Insurance: McNabb Services provides $20,000 in life insurance coverage. Additional coverage is available at the employee’s cost.
Short-Term Disability: Company-provided coverage is included. Additional coverage may be available at the employee’s cost.
PTO/Vacation: Five days of PTO/vacation beginning at the time of employment.
401(k) Plan: Eligibility begins after one year of employment. McNabb Services matches employee contributions up to 3.5%.
