Overview

We are seeking an energetic and detail-oriented Front Desk Associate to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your proactive approach and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team.

Responsibilities

Greet visitors and clients warmly, ensuring a professional and friendly first impression.
Manage multi-line phone systems, directing calls efficiently and courteously.
Handle incoming correspondence, emails, and inquiries with promptness and accuracy.
Maintain organized filing systems, including digital spreadsheets and paper records.
Support office management tasks such as calendar scheduling, appointment setting, and data entry.
Utilize productivity software like Microsoft Office, Google Workspace, and QuickBooks for daily operations.
Assist with clerical duties including proofreading documents, preparing reports, and managing client communication.
Support bookkeeping activities such as invoicing and basic financial record keeping.
Coordinate office supplies inventory and ensure the workspace remains organized and functional.
Provide customer support by addressing inquiries professionally via phone or in person while maintaining excellent phone etiquette.

Qualifications

Proven experience in office management or administrative support roles with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry tools.
Familiarity with QuickBooks or similar bookkeeping software is highly desirable.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Strong communication skills, including phone communication and client interaction; bilingual abilities are a plus.
Demonstrated computer literacy with technical proficiency in office productivity software and office equipment like multi-line phones.
Previous experience working at a front desk or in customer service roles preferred.
Ability to manage time efficiently while maintaining attention to detail; experience with calendar management is advantageous.
Personal assistant or office experience that includes filing, proofreading, and supporting team needs is beneficial.
