About I-CAR:
The Inter-Industry Conference on Auto Collision Repair (I-CAR) is a growing, not-for-profit organization, headquartered in Hoffman Estates, Illinois, serving the automotive collision repair industry globally. The organization was established by representatives of the collision repair, automotive, and insurance industries in 1979 and has doubled its revenue over the last six years.

Today, the I-CAR brand is stronger than it has been in 40 years of operation and has gained a worldwide reputation. There is momentum and excitement among its committed workforce, instructors and volunteers to continue to help the organization grow and expand its breadth of reach and scale. I-CAR leadership believes that the future of the organization will be importantly influenced by its continuing innovation and relevance of its products, technical programs and services.

Position Summary :
This position will be responsible for ensuring all I-CAR specialty training events are scheduled and instructors assigned in an efficient manner that promotes product integrity and supports organizational needs. The Associate, Specialty Training Coordinator will work under the direction of the Manager, Scheduling to ensure all major milestones are met and the output is accurate and compliant.

I-CAR Specialty Training administers and conducts manufacturer driven certification and training programs, as well as to conducting I-CAR Training courses delivered from established locations. Associate, Specialty Training Coordinator will support these certification and training programs by providing scheduling, administrative and general coordination support to the team. This individual will work cross functional with key internal and external stakeholders.

This position will have occasional needs for in office work and candidates must be willing to commute to one of our offices in the following locations: Hoffman Estates, IL; Vernon Hills, IL; Appleton, WI

Primary Responsibilities include, but are not limited to, the following. Other duties may be assigned.

Scheduling various types of specialty training events using specific processes that meet established goals and initiatives.

Posting training events in established system utilizing defined processes.

Administrative support, maintaining information in systems and data entry.

Reporting results and maintaining established systems.

Written and verbal communication to students and instructors throughout the specialty training event process, including follow up on inquiries and requests.

Administer student registration process and obtain prerequisite reports.

Organize and maintain course waitlist.

Invoice customers for training courses and services rendered.

Maintains and organizes training schedule calendars.

Provide support related to class schedules, delivery of training and travel recommendations.

Participate in regular status meetings with key customers.

Take necessary actions based upon information received from Scheduling Manager and Specialty Training staff.

Analyze incoming emails, submissions and requests to determine their significance, and prioritize them according to department procedures.

Serve as I-CAR scheduling contact for external customers as needed.

Act as a backup to existing scheduling staff when necessary.

Experience and Education:
High School Graduate or General Education Degree (GED)

Two to four years of administrative experience is required. Some advanced education in an office or administrative program desired.

Experience with Microsoft systems

Minimum two years of experience in an office environment.
