Full Job Description

The role of the Accounts Payable Associate involves providing financial, administrative and clerical support to the organization. This role is to complete payments and control expenses by receiving statements, plus processing, verifying and reconciling invoices. The Accounts Payable role will also monitor the day-to-day management of all payment cycle activities in a timely and efficient manner.

Responsibilities:

Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts payable data

Post payments by recording cash, checks, and credit card transactions
Reconciling processed work by verifying entries and comparing system reports to balances
Paying vendors by scheduling pay checks and ensuring payment is received for outstanding credit; generally responding to all vendor enquiries regarding finance
Updates payables by totaling unpaid invoices and statements
Assists with audits including payment discrepancies
Handles communications with payee’s and vendors via phone/email
Protects organization's value by keeping information confidential
Continuing to improve the payment process
Provides support to other departments as needed

Qualifications:

Thorough knowledge of bookkeeping procedures, applicable accounts payable/general ledger systems
STRONG knowledge of QuickBooks Online
Must be well organized and a self-starter and able to handle sensitive, confidential information.
Detail oriented, professional attitude, reliable
Basic computer skills, hands-on experience with spreadsheets, proprietary software, and QuickBooks Online, proficient in Excel and Word
Must have strong work ethic
Ability to interact with employees and vendors in a professional manner
Must be able to follow standard filing procedures
Strong problem-solving skills, including being able to identify issues and resolve problems in a timely manner
Must have great attention to detail, organized and thorough, able to monitor work for quality, and able to spot numerical errors.
Must be able to prioritize and multi-task; able to plan work activities as to use time efficiently
Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timelines
Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately
