Full Job Description

Essential Duties and Responsibilities

Administrative Operations

Manage departmental calendars and scheduling.

Coordinate meetings, interviews, orientations, and training sessions.

Prepare meeting agendas, minutes, and action-item tracking.

Maintain HR correspondence and departmental communications.

Serve as a professional point of contact for employees, applicants, vendors, and visitors.

Manage office supply inventory and purchasing requests.

Assist with event planning, company meetings, recognition programs, and employee engagement activities.

Support executive administrative functions, as assigned.

Recruiting & Talent Acquisition

Post and maintain job advertisements.

Screen resumes and applications.

Schedule interviews and hiring meetings.

Conduct reference checks.

Coordinate candidate communications.

Assist with offer letter preparation and new hire documentation.

Maintain applicant tracking records.

Support recruitment events and career fairs.

Onboarding & Offboarding

Coordinate new hire onboarding activities, maintain onboarding checklists.

Prepare orientation materials.

Ensure completion of employment documentation.

Schedule required training assignments.

Conduct exit process administration and collect company property.

Maintain separation documentation and records retention requirements.

Employee Records & HRIS Administration

Maintain accurate employee personnel files.

Update and audit employee information in the HRIS.

Ensure compliance with document retention requirements.

Maintain organizational charts and employee directories.

Archive inactive employee files according to company retention schedules.

Benefits Administration

Assist with benefit enrollment processes.

Provide employee support regarding benefits questions.

Coordinate benefit change requests due to qualifying life events.

Track benefit eligibility periods.

Assist with open enrollment communications.

Payroll Support

Track PTO, attendance, and leave documentation.

Review payroll-related administrative data for accuracy.

Assist with payroll audits and reporting.

Coordinate employee payroll documentation.

Support wage and employment verification requests.

Compliance & Documentation

Maintain I-9 records and employment eligibility documentation.

Monitor required certifications and license renewals.

Assist with OSHA, safety, and compliance recordkeeping.

Support policy distribution and acknowledgment tracking.

Assist with HR audits and regulatory reporting.

Maintain compliance training records.

Employee Relations Support

Assist HR leadership with employee communications.

Support employee recognition initiatives.

Coordinate employee surveys and engagement activities.

Document employee concerns and route appropriately.

Maintain confidentiality regarding employee issues.

Records Management & Archival Duties

Develop and maintain electronic filing systems.

Archive employee records according to record retention schedules.

Manage destruction of documents in compliance with legal requirements.

Preserve historical HR documentation.

Maintain secure access to confidential personnel information.

Conduct periodic records audits and file clean-up projects.

Reporting & Analytics

Generate HR reports and dashboards.

Track turnover, retention, recruiting, attendance, and training metrics.

Assist with workforce planning reports.

Support HR budgeting and workforce analysis activities.

Qualifications

Required:

1–3 years of administrative support experience.

Strong Microsoft Office skills.

Excellent organizational and time-management abilities.

Strong written and verbal communication skills.

Ability to maintain strict confidentiality with employee and company information.

Ability to manage multiple priorities with minimal supervision.

Ability to work independently, utilize critical thinking, and anticipate needs proactively.

Preferred:

Bachelor's degree in Human Resources, Business Administration, Communications, or a related field.

Experience supporting Human Resources, Recruiting, Payroll, or Benefits functions.

Working knowledge of HRIS systems.

Basic understanding of employment laws and HR practices.

Position Summary

The Human Resources Administrative Assistant serves as a key support resource for Human Resources and Executive Leadership. This position performs a variety of administrative, clerical, recruiting, onboarding, employee records, benefits, compliance, and HR operations functions while maintaining strict confidentiality.

This role is designed as an entry-level Human Resources position that provides a pathway for advancement into Human Resources Generalist, Human Resources Specialist, Human Resources Manager, and Director-level positions.

The ideal candidate is highly organized, detail-oriented, professional, proactive, and capable of managing multiple priorities while supporting employees throughout the employment lifecycle.
