Position Summary
The Patient Care, Pharmacy Services, and Office Assistant supports the daily operations of the urgent care clinic, pharmacy, and front office. This cross-functional position assists patients throughout their visit, performs administrative duties, supports clinical staff, and helps the pharmacy team under the supervision of a licensed pharmacist.
The ideal candidate is compassionate, organized, dependable, and able to work effectively in a fast-paced healthcare environment while maintaining patient privacy and professional standards.
Key ResponsibilitiesPatient Care and Clinical Support
- Welcome patients and provide courteous, compassionate assistance.
- Escort patients to examination rooms and prepare rooms for visits.
- Obtain and document vital signs, medical histories, medication lists, and chief complaints, as permitted by training and applicable regulations.
- Assist providers with examinations and basic clinical procedures within the employee’s authorized scope.
- Collect and process specimens and perform waived point-of-care testing after appropriate training.
- Clean, disinfect, stock, and prepare examination and treatment rooms.
- Monitor clinical and laboratory supplies and report items requiring replenishment.
- Follow infection-control, OSHA, HIPAA, and workplace-safety requirements.
- Immediately communicate urgent patient concerns to the appropriate licensed clinical professional.
Pharmacy Services Support
- Welcome pharmacy patients and assist with prescription pickup and general service questions.
- Enter patient and prescription information under the supervision of a licensed pharmacist.
- Assist with prescription preparation, labeling, packaging, inventory, and shelving when legally authorized and properly registered or certified.
- Receive medication deliveries and help verify, organize, rotate, and store inventory.
- Monitor medication and supply expiration dates.
- Assist with refill requests, prescription-transfer information, adherence packaging, and delivery coordination.
- Process payments and maintain accurate transaction records.
- Refer all medication, counseling, interaction, dosing, and clinical questions to the pharmacist.
- Protect prescription information and comply with pharmacy privacy and security procedures.
- Perform only those pharmacy duties permitted by Ohio law and the employee’s registration level.
Front-Office and Administrative Support
- Answer and route telephone calls, messages, faxes, and general inquiries.
- Schedule appointments and assist patients with registration and check-in.
- Verify demographic and insurance information and collect required payments.
- Scan and upload insurance cards, identification, referrals, and other documents.
- Maintain organized and accurate electronic and paper records.
- Assist with referrals, prior authorizations, medical-record requests, and patient follow-up as assigned.
- Maintain a clean, organized, and welcoming reception area.
- Support office inventory, supply ordering, filing, scanning, and general administrative tasks.
- Balance assigned cash or payment records according to organizational procedures.
- Communicate professionally with patients, caregivers, providers, pharmacies, and other healthcare organizations.
Required Qualifications
- High school diploma or equivalent.
- Strong communication, organization, and customer-service skills.
- Ability to protect confidential patient and business information.
- Basic computer proficiency and ability to learn electronic health record and pharmacy systems.
- Ability to prioritize responsibilities and work accurately in a fast-paced environment.
- Dependable attendance and ability to work assigned days, evenings, weekends, or holidays.
- Pharmacy registration or certification must be obtained and maintained when required for assigned pharmacy duties.
Preferred Qualifications
- Medical assistant training, certification, or relevant clinical experience.
- Ohio pharmacy technician trainee, registered pharmacy technician, or certified pharmacy technician status.
- CPR/BLS certification.
- Experience in an urgent care clinic, physician’s office, retail pharmacy, or other healthcare setting.
- Familiarity with electronic health records, insurance verification, prescription-processing systems, and point-of-care testing.
- Bilingual communication skills are a plus.
