Part-Time Pediatric Patient Care Coordinator / Front Desk

Vital Roots Pediatrics PLLC is seeking a warm, organized, and dependable Part-Time Patient Care Coordinator to join our growing pediatric practice.

This position is an important part of creating a welcoming, personalized experience for our families. The ideal candidate is friendly, professional, detail-oriented, and comfortable communicating with parents and caregivers. We are looking for someone who enjoys helping people, stays organized in a busy environment, and takes pride in providing excellent customer service.

Position Details

Position: Part-Time Pediatric Patient Care Coordinator / Front Desk
Hours: Approximately 10–15 hours per week, with potential for additional hours as the practice grows
Schedule: Flexible scheduling during office hours
Location: Vital Roots Pediatrics
Compensation: Competitive hourly rate based on experience

Role Summary

The Patient Care Coordinator will serve as one of the first points of contact for Vital Roots families and will help ensure that the front office and patient experience run smoothly.

This role will include answering phones and messages, scheduling appointments, checking patients in and out, collecting payments, assisting with patient forms, communicating with families, and supporting the administrative needs of the practice.

The ideal candidate will be comfortable learning new technology and working in a small, growing practice where flexibility and initiative are important.

Responsibilities

Welcome patients and families in a warm, professional manner
Answer incoming phone calls, texts, and patient messages
Schedule, reschedule, and confirm appointments
Check patients in and out
Collect payments and assist with billing-related questions
Help families understand appointment types, fees, and practice policies
Manage patient forms and ensure required paperwork is completed
Assist with new patient onboarding
Maintain accurate patient information in the electronic medical record
Communicate with families regarding appointments, forms, records, and other administrative needs
Assist with medical records requests and outside records
Help maintain an organized and welcoming front desk and waiting area
Support the provider and clinical staff with administrative tasks
Assist with practice operations and special projects as needed
Maintain patient confidentiality and follow HIPAA requirements
Provide exceptional customer service and contribute to a positive family experience

Skills & Qualifications

Previous medical office, pediatric office, customer service, or administrative experience preferred
Excellent communication and interpersonal skills
Warm, friendly, and professional demeanor
Strong organizational and multitasking skills
Excellent attention to detail
Comfortable communicating with parents and caregivers
Comfortable using computers and learning new software systems
Experience with an electronic medical record or scheduling system is a plus
Experience handling payments and basic administrative tasks preferred
Reliable and punctual
Able to work independently and take initiative
Comfortable in a small, growing practice where responsibilities may evolve
Strong commitment to patient privacy and confidentiality
Pediatric or healthcare experience is a plus, but not required
