Full Job Description

Our agency is looking for a Front Office Coordinator. We are a small local agency that has been in business for over 50 years. We are looking for a individual to handle client-facing duties as well as general office management tasks. The ideal candidate has excellent communication and multitasking skills, a positive attitude and a strong work ethic.

Responsibilities:

Answer all incoming phone calls. Transfer the calls to an available Account Executive. Greet customers that walk into the office and connect them with the appropriate person.
Process and transmit customer payments to the insurance company. Document the information into the agency management system. Reconcile the cash receipts daily.
Process customer claims into the agency management system. Run claims reports on the company websites and attach to the customer’s file. Process cancellations and re-instatement notices.
Scan daily paperwork and attach it to the customer’s file.
Maintain and order supplies from various vendors.
Assist and support Account Managers; processing, renewals, correspondence.
Maintain and order supplies
Open and distribute mail.
Other tasks as needed.

Requirements:

We are looking for a motivated individual who possess a genuine willingness to learn, be intuitive and resourceful.
Proficiency to multi-task.
Excellent communication/interpersonal skills
2+ years of experience as a Receptionist or Administrative Assistant
Exceptional customer service skills and professional phone manner.
Working knowledge of spreadsheets and word processing documents with the desire to learn an insurance specific management software.
Works well with other employees and is a team player.
