Job Description

REPORTS TO:
Property Manager

Job Summary: Assistant Property Manager is responsible for insuring the efficient operation of the property under the direction of the Property Manager. Assistant Property Manager must be able to assume responsibility for the property in the Property Manager's absence. Must be available to work some Saturdays.

Job Responsibilities

The Assistant Property Manager is responsible for the following tasks:

Assist and support the Property Manager in all aspects of the day-to-day operation of the property. Assists Property Manager's efforts to achieve property goals and objectives in the most efficient and profitable manner possible, maintaining a high level of customer service.
Daily Activities include;

*Monthly lease renewals
*Delinquency
*Leasing and lease paperwork preparation
*Rent collection, fair housing practices.

Assistant Property Manager recognizes potential problems and takes appropriate action immediately to avoid further problems and recurrence. Possesses the initiative to make decisions and notify the proper personnel. Assistant Manager is dependable, reliable, and possesses the ability to get the job done right the first time.
Assistant Property Manager is aware of product, local market conditions and trends that may affect the performance of the property. Actively participates in corporate outreach and community programs.
Assistant Property Manager is always aware of the surroundings to make sure that the property is kept in excellent condition.

*Walking all apartments prior to move in
*Physically inspecting the grounds and picking up litter or reporting any service needs
*Walking the model to make sure of cleanliness and temperature
* Maintain and update the marketing book, market studies, as well as print and internet advertising
*Understands the affect market conditions may have on the property and knows how to overcome objections.

Ability to oversee, direct, coach and address any issues which may arise as well as the ability to maintain the property in the highest standards.
Maintains a positive attitude when dealing with issues.
Assistant Property Manager is knowledgeable in all software applications. Proficient with MRI, as well as word documents, memos, emails, etc. and is aware of guidelines of each.
Assistant Property Manager takes advantage of educational offerings that are available to ensure continued growth professionally including but not limited to:

*NAA designations, such as NALP and CAM

*Any other outside training that is offered

Serve as acting Property Manager in the absence of the Property Manager. Includes supervising all employees and assuming responsibility of property operations usually handled by the Property Manager.
Maintain the site office, including supplies, all equipment and records. Keep complete, organized filing system in accordance with policies. Maintain a constant and appropriate inventory of rental supplies.
Show prospective residents’ apartments and explain occupancy terms. Follow established policy and procedures in the qualification, screening and acceptance of applicants for residency. Inform prospective residents of availability of nearby schools, shopping malls, recreational facilities, and public transportation.
Input or oversee the keying of all resident data into the Property Management software. Set up and maintain complete and accurate resident files.
Collect rents due and issue receipts, Maintain complete records of all collection activities. Responsible for all duties associated with the posting of rent checks to resident's accounts is required, including keying rent received into computer, malting bank deposits and keeping accurate records of all bank deposits.
Code all invoices for payment in accordance with Property Manager for approval weekly.

Responsible for informing management and maintenance on rented units. Provide new resident with a "move-in package" containing information on the property and a set of the rules and regulations.
Answer telephones, record and log maintenance reports. Ensure that all models, office areas and move-in units are checked daily. Accept and process Notices to Vacate and move-outs.
Coordinate all moves in or out of the building with the maintenance staff.
Prepare and submit weekly marketing reports and monthly marketing competition reports. Update and check all rental activity and send thank you cards daily.
Communicate with the residents on a regular basis, handling and resolving complaints, problem solving and recording work orders. Investigate tenant complaints and inspect vacated apartments to determine needed repairs or maintenance.
Attend scheduled resident meetings, if so required.
Assist the Property Manager with special projects, as necessary.

Other Competencies_

EDUCATION and/or EXPERIENCE

Bachelor's degree (B. A.) from four-year college or university preferred but not required. One to three years of related Asst. Property Management experience. Ability to handle multiple tasks and a professional presentation in appearance and demeanor.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities unless the Property Manager is unavailable or away from the property.

LANGUAGE SKILLS

Excellent communication skills required. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals in English. Ability to write routine reports and correspondence in English.

REASONING ABILITY

Good interpersonal skills needed. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. The ability to stay calm and handle pressure situations.

COMPUTER SKILLS

Must be computer literate. Knowledge of Microsoft office and Windows required. Knowledge of MS Word or other word processing and Excel spreadsheet software. Knowledge of Entrata, Yardi, or other accounting/property management software.
