Job Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our bustling office environment. This pivotal role ensures seamless administrative functions, fosters a productive workplace, and supports both staff and clients with professionalism and enthusiasm. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude to keep our office running smoothly and efficiently. Responsibilities

Oversee all office management duties, including maintaining supplies, equipment, and facilities to ensure an optimal working environment.
Manage multi-line phone systems, answer inquiries with professionalism, and direct calls appropriately using excellent phone etiquette.
Coordinate calendar management and schedule appointments, meetings, and events using productivity software and calendar tools.
Handle data entry tasks accurately within spreadsheets and other database systems, ensuring information is current and accessible.
Provide exceptional customer service by assisting visitors at the front desk, supporting client communication, and addressing inquiries promptly.
Maintain organized filing systems—both digital and paper—to facilitate quick retrieval of documents and records.
Support administrative functions such as proofreading documents, managing correspondence, and performing clerical tasks with attention to detail.
Utilize computer skills across various platforms including Microsoft Office (Word, Excel) and QuickBooks for financial tracking or invoicing purposes.
Assist with personal assistant duties as needed, including task prioritization and time management to meet deadlines efficiently.

Requirements

Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, data entry, and productivity software.
Technical proficiency with computer literacy including familiarity with QuickBooks or similar accounting software is preferred.
Excellent communication skills—both verbal and written—and the ability to handle multi-line phone systems confidently.
Bilingual abilities are a plus to support diverse client interactions and team communication.
Demonstrated experience in clerical work such as filing, proofreading, calendar management, and front desk operations.
Strong customer service orientation with professional phone etiquette and client communication skills.
Ability to multitask effectively while maintaining accuracy in data entry and document processing.
Personal assistant experience or familiarity with office procedures enhances suitability for this role.
High level of initiative, time management skills, and the ability to prioritize tasks efficiently in a fast-paced environment.
