Full Job Description

Fast pace growing commercial and residential plumbing and heating company in Hunterdon County is looking to fill its open position of CSR / Dispatcher. We are looking for a personable, punctual, and motivated individual who models and delivers outstanding customer service on a timely manner.

Roles and Responsibilities

· Serve as a primary user of ServiceTitan for customer service, dispatching, work-order processing, and basic accounting-related functions.

· Answer incoming calls and respond to customer questions regarding scheduling, service history, invoices, payments, and account balances in a professional and timely manner.

· Create and maintain accurate customer profiles, service locations, contacts, equipment records, memberships, notes, and other account information in ServiceTitan.

· Schedule, dispatch, route, and reschedule service technicians in ServiceTitan, working with the Service Manager to support efficient daily operations.

· Monitor the ServiceTitan dispatch board throughout the day and communicate schedule changes, job status, and relevant customer information to technicians and management.

· Review completed work orders for required notes, labor, materials, purchase orders, photos, forms, signatures, and pricing before the jobs are closed or invoiced.

· Prepare and process customer invoices in ServiceTitan and confirm that charges, discounts, taxes, payment terms, and supporting documentation are accurate.

· Apply and reconcile customer payments, deposits, credit-card transactions, and other receipts in ServiceTitan, and report discrepancies to the accounting department.

· Perform basic accounts receivable follow-up, including reviewing aging reports, contacting customers regarding past-due balances, documenting collection activity, and escalating unresolved accounts.

· Assist with basic accounting and job-cost functions by entering or verifying purchase orders, vendor information, material costs, and other job-related financial data in ServiceTitan and related accounting systems.

· Run and review routine ServiceTitan reports and dashboards for open jobs, unbilled work, outstanding balances, technician activity, and data exceptions; communicate issues requiring correction.

· Coordinate with technicians, the Service Manager, and accounting personnel to ensure information flows accurately between field operations, ServiceTitan, and the accounting system.

· Perform customer follow-up calls, document feedback in ServiceTitan, and promptly report service concerns or unresolved issues to management.

· Assist with installation permits, administrative correspondence, mail processing, supply ordering, and other office support functions as needed.

· Protect customer and company financial information and follow established internal controls, payment-handling procedures, and company policies.

· Complete other assignments as requested and support the department wherever needed.

Work Experience, Qualifications, and Education

· Two or more years of customer service, dispatching, administrative, or office experience; experience in plumbing, HVAC, construction, or a service business is preferred.

· Hands-on ServiceTitan experience is strongly preferred. The successful candidate must be comfortable learning and working extensively in ServiceTitan throughout the day.

· Basic accounting knowledge, including an understanding of invoices, payments, accounts receivable, customer statements, purchase orders, credits, and job costs.

· Strong computer and data-entry skills, including Microsoft Outlook, Word, and Excel.

· High school diploma or GED required; additional business, accounting, or software training is preferred.

· Strong verbal and written communication skills and the ability to work effectively with customers, technicians, managers, and accounting personnel.

· High attention to detail and a demonstrated ability to maintain accurate and complete records.

· Ability to prioritize multiple assignments, work under pressure, meet deadlines, and maintain a positive and professional attitude.

· Sound judgment, emotional intelligence, confidentiality, and a customer-first mindset.
