Full Job Description

The Office Administrator is responsible for the daily administrative operations of the company. This position ensures efficient office management, supports employees and management, maintains records, coordinates communications, and assists with accounting, human resources, and customer service functions.

Essential Duties and ResponsibilitiesAdministrative Support

Manage daily office operations and administrative functions.
Answer and direct incoming phone calls, emails, and correspondence.
Schedule meetings, appointments, and company events.
Maintain organized filing systems, both electronic and paper.
Prepare reports, forms, letters, and other business documents.
Monitor office supply inventory and order supplies as needed.
Assist and greet customer. Process payments

Human Resources Support

Assist with employee onboarding and orientation.
Maintain personnel files and employee records.
Track employee attendance, PTO requests, and leave records.
Coordinate training sessions and employee communications.
Ensure compliance with company policies and procedures.

Accounting Support

Process accounts payable and accounts receivable documents.
Assist with invoicing, collections, and payment tracking.
Reconcile company credit card receipts and expense reports.
Maintain vendor files and payment records.
Support month-end and year-end accounting activities.

Customer Service

Serve as a primary point of contact for customers, vendors, and visitors.
Respond to customer inquiries professionally and promptly.
Coordinate service requests and follow up on outstanding issues.
Maintain positive relationships with customers and business partners.

Compliance and Records Management

Maintain confidential company and employee information.
Ensure records are accurate, complete, and properly stored.
Support regulatory compliance requirements.
Assist with audits, inspections, and documentation requests.

Qualifications

High school diploma or GED required; Associate's degree preferred.
Minimum 2 years of administrative or office management experience.
Strong proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Ability to maintain confidentiality and professionalism.
Ability to prioritize multiple tasks in a fast-paced environment.

Physical Requirements

Prolonged periods of sitting and working at a computer.
Ability to lift up to 25 pounds occasionally.
Ability to move throughout the office and facility as needed.
