Job Description – HR Administrator

Job Title: HR Administrator

Location: Houston, TX (On-site/Hybrid)

Department: Human Resources

Reports To: HR Manager / Director of Human Resources

Employment Type: Full-Time

Position Summary

The HR Administrator provides day-to-day administrative support for the Human Resources department and serves as a key point of contact for employees throughout the employee lifecycle. This role is responsible for maintaining accurate employee records, supporting recruitment and onboarding, assisting with payroll and benefits administration, ensuring compliance with federal and Texas employment laws, and delivering exceptional employee service while maintaining confidentiality.

Salary : 50k to 60k Annual

Key ResponsibilitiesHR Administration

Maintain accurate employee personnel files and HRIS records.
Process new hire, employee change, and termination documentation.
Prepare employment verification letters, offer letters, and other HR correspondence.
Maintain HR forms, policies, and employee documentation.
Ensure confidentiality of employee information and HR records.

Recruitment & Onboarding

Coordinate job postings across various recruitment platforms.
Screen applications and schedule interviews.
Conduct pre-employment processes, including background checks and reference checks.
Coordinate new hire onboarding, I-9 verification, and orientation.
Ensure all onboarding documentation is completed in compliance with federal requirements.

Payroll & Benefits Support

Assist with payroll processing by collecting and validating employee data.
Maintain employee attendance, PTO, and leave records.
Support benefits enrollment, changes, and annual open enrollment.
Respond to employee questions regarding payroll and benefits.

Compliance

Ensure compliance with federal, state (Texas), and local employment laws.
Maintain I-9 records and employment eligibility documentation.
Assist with EEO reporting, workers' compensation, unemployment claims, and OSHA-related documentation as needed.
Support HR audits and maintain compliance documentation.

Employee Relations

Serve as the first point of contact for employee HR inquiries.
Assist in resolving routine employee concerns.
Support employee engagement initiatives and company events.
Promote a positive workplace culture aligned with company values.

HR Reporting

Generate HR reports and maintain workforce metrics.
Track turnover, new hires, terminations, training, and compliance activities.
Support HR leadership with special projects and process improvements.

Required Qualifications

Bachelor's degree in Human Resources, Business Administration, or related field preferred.
2+ years of HR administrative or HR coordinator experience.
Working knowledge of U.S. employment laws and HR best practices.
Experience with HRIS systems (ADP, Paychex, BambooHR, UKG, Rippling, or similar).
Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
Excellent written and verbal communication skills.

Preferred Qualifications

HR certification (SHRM-CP, SHRM-SCP, PHR, or aPHR) is a plus.
Experience supporting multi-state employees is preferred.
Familiarity with payroll administration and employee benefits.
