Full Job Description

Position Overview

We are seeking a detail-oriented and organized Specialist to join our team. You will support our HR and accounting operations by managing time and attendance, payroll, and financial records including A/P while collaborating with two other supporting office administrators. This role provides critical support for our procurement and day-to-day production accounting functions.

Key Responsibilities

● Manage time and attendance tracking using QuickBooks

● Process and maintain payroll records using QuickBooks

● Record and reconcile debit and credit accounts

● Support procurement and production accounting processes, primarily A/P, but will assist with other accounting functions

● Collaborate with two other office administrators on daily accounting tasks

● Communicate and coordinate with the company's CPA

● Report directly to the President of the company

Key Deliverables

● Ensure accurate and timely payroll processing for all employees for each pay period.

● Complete all account reconciliations on schedule, ensuring financial records are accurate and up to date.

● Support month-end and year-end closing activities to ensure timely financial reporting.

● Identify and resolve accounting discrepancies promptly, communicating issues and solutions as needed.

● Maintain confidentiality of employee, payroll, and financial information at all times.

● Meet all internal deadlines for payroll, reporting, vendor payments, and financial recordkeeping.

Required Qualifications

● 3-5 years of accounting or office administration experience

● Proficiency in QuickBooks, including time and attendance, payroll, debit accounts, and credit accounts

● Strong organizational skills and attention to detail

● Excellent communication and interpersonal skills

● Ability to work independently and as part of a team

● Ability to consistently meet deadlines

● Strong interpersonal skills and professionalism for interaction with internal and external stakeholders

Preferred Qualifications

● Experience with SOS Inventory software system

● Paperwork, computer work must be performed at a high level of accuracy

Note: This position does not include health care benefits. However, a per diem for health care or other types of insurance can be negotiated.

Work Environment

This position is an in-office position 40 hours per week – no weekends required. Working hours expected 8AM to 5PM.

Pay: From $23.00 per hour
