Transaction Coordinator and Executive Assistant

Who Develops You: Director of Operations

What You’re Great At:

You are a detail-oriented professional with a strong sense of urgency, but not at the expense of quality. You are a good listener, extremely organized, solutions-based, and results-driven. You are passionate about being both efficient and effective in process management and customer service.

What You’ll Do:

Complete the listing launch and contract to close process for all transactions.
Provide a world class client experience for clients through phone and email on behalf of the team through contract and beyond.
Enter listing data, descriptions, and pictures into MLS.
Work closely with the team leader on their contracts, schedule and communication with their clients and relocation companies.
Maintain organized digital filing systems and records.
Act as the liaison between real estate agents, clients, attorneys, escrow companies, and mortgage brokers.
Read all aspects of contracts in order to execute obligations and to maintain accurate and compliant transaction files (inspection reports, receipts, bills, etc.).
Create timelines and follow-up processes/check-ins with agents to ensure all transaction deadlines are met resulting in a timely closing.
Build and implement systems that save time and create efficiencies.
Prepare monthly newsletters and expense reports
Commit to weekly 1:1 coaching sessions, PLACE trainings, and Brivity trainings.

Knowledge and Skills:

Service oriented leadership
Excellent at building rapport
Strong written and verbal communication skills
Phenomenal organizational skills
Self-starter
Technologically savvy with working knowledge of KW Command and/or Brivity
Learning based
High school graduate
Relocation knowledge preferred
Service industry or previous sales background

Required Background:

Texas Real Estate License is required.
Ability to do highly detailed work while delivering a consistently excellent customer experience.
1+ years experience in an administrative role within the real estate industry or a related field.

Other Details:

Compensation depending on experience, ranges from $20-22 per hour.
We have a work from home model with occasional required days in the office for team meetings and trainings.
The person in this role MUST reside in the Greater Houston area.
This role has the potential to be part-time for the right candidate. Benefits are available for full-time employees.
