Our growing aesthetic medical practice is seeking an experienced, professional, and highly organized Assistant Office Manager (Future General Manager Track) to become an integral part of our leadership team.
This position is ideal for someone with a passion for aesthetics, exceptional customer service skills, and previous experience managing the day-to-day operations of a medical office. The Assistant Office Manager will work directly alongside the Practice Owner to help oversee daily operations, elevate the patient experience, and contribute to the continued growth and success of the practice.
This position offers a clear career path to General Manager based on performance, leadership, accountability, and demonstrated results.
Responsibilities
- Serve as the primary operational support to the Practice Owner by assisting with daily business operations, provider scheduling, patient flow, team coordination, and administrative initiatives while helping drive an exceptional patient experience.
- Oversee daily front office operations to ensure efficiency and a seamless patient experience.
- Coordinate provider schedules and optimize appointment flow.
- Manage incoming calls, patient communications, appointment confirmations, and follow-up.
- Assist with hiring, onboarding, training, coaching, and accountability of front office staff.
- Monitor inventory, order supplies, and maintain appropriate stock levels.
- Process patient payments and assist with daily financial reconciliation.
- Help implement and maintain office policies, procedures, and operational systems.
- Resolve patient concerns professionally while maintaining the highest level of customer service.
- Collaborate with the Practice Owner on workflow improvements, operational efficiencies, marketing initiatives, and practice growth strategies.
- Assist with practice events, promotions, community outreach, and special projects.
- Maintain a clean, organized, and professional office environment.
Qualifications
- Minimum of two (2) years of experience in a medical spa, aesthetic practice, plastic surgery, dermatology, or healthcare office (required)
- Fluent in both English and Spanish (required)
- Previous leadership or supervisory experience preferred.
- Excellent organizational and multitasking abilities.
- Outstanding communication and interpersonal skills.
- Professional appearance and positive attitude.
- Strong problem-solving skills with the ability to think proactively and independently.
- Experience with EMR systems, scheduling software, and Microsoft Office preferred.

Schedule
- Full-time position
- Must be available to work full-day shifts.
