Full Job Description

Client is seeking a highly organized, professional, and dependable Executive Assistant / Executive Administrator with healthcare, pharmaceutical, or related industry background to provide direct administrative support to executive leadership while assisting with daily business operations.

This position is ideal for someone who has experience supporting executives, business owners, or leadership teams and understands the importance of organization, confidentiality, professionalism, and attention to detail. The successful candidate will serve as a trusted support resource, helping manage schedules, coordinate priorities, prepare documents, assist with projects, and ensure daily administrative responsibilities are handled efficiently.

The ideal candidate will have a healthcare-related background and familiarity with the pharmacy, pharmaceutical, or medical industry. This individual should be comfortable working in a fast-paced environment, managing multiple priorities, communicating with internal teams and external partners, and supporting leadership with both professional and occasional administrative/personal assistant responsibilities.

This is an excellent opportunity for an experienced administrative professional who is looking to contribute, learn, and grow within a healthcare-focused organization. The ideal candidate is not entry-level but also does not require extensive executive-level experience. We are seeking someone with a strong administrative foundation, a willingness to learn, and the ability to take initiative while working closely with leadership.

Key Responsibilities

Provide executive administrative support to leadership, including calendar management, scheduling meetings, coordinating appointments, and managing priorities.
Assist with daily executive operations by organizing schedules, tracking follow-ups, preparing materials, and ensuring important tasks are completed timely.
Serve as a reliable point of contact for internal teams, healthcare professionals, vendors, business partners, and external contacts.
Prepare, edit, proofread, and organize professional correspondence, reports, presentations, agreements, and confidential documents.
Assist with healthcare, pharmacy, and pharmaceutical-related administrative projects, documentation, and organizational tasks.
Maintain accurate records, files, and business documents while ensuring confidentiality and professionalism.
Support meeting preparation, including agendas, notes, follow-up items, and project coordination.
Assist with travel arrangements, scheduling, office organization, and other administrative needs.
Provide occasional personal assistant support to leadership, including coordinating appointments, managing special requests, and assisting with executive priorities.
Utilize Microsoft Office Suite, Google Workspace, DocuSign, QuickBooks, and other administrative systems.
Support office operations and contribute to improving workflow, organization, and efficiency.
Handle sensitive business and healthcare-related information with discretion and professionalism.

Qualifications

Associate degree or bachelor’s degree preferred.
2+ years of experience in executive assistant, executive administrator, administrative coordinator, office manager, or similar support role preferred.
Background in pharmacy, pharmaceutical, healthcare, medical, or another regulated industry preferred.
Strong organizational skills with the ability to manage multiple responsibilities and shifting priorities.
Excellent written and verbal communication skills.
Professional demeanor with the ability to interact with executives, healthcare professionals, vendors, and business partners.
Strong attention to detail and ability to maintain accurate documentation.
Proficiency with Microsoft Office Suite, Google Workspace, electronic document systems, and general office technology.
Ability to maintain confidentiality and handle sensitive information appropriately.
Self-motivated, dependable, adaptable, and willing to learn new processes and responsibilities.

Pay: $40,000.00 - $60,000.00 per year
