HOA Property Manager
Timber Top Condominiums

Job Description: Property Manager, responsible for property operations, building staff, oversight of financial and maintenance of condominium property.

Qualifications: A professional individual with excellent oral and written communication skills; must have good financial skills and be detail oriented; must be able to handle multiple projects at any given time; needs experience in long range planning, employee relations, time management. Proficiency in Microsoft Office Applications, Google Docs, and Quickbooks; minimum of five years managerial experience in property operations of large urban property.

Salary, Hours, & Benefits: Salary negotiable, paid vacation, holidays, medical supplement stipend

Responsibilities and Duties:

 Daily operation and maintenance of building and grounds.

 Negotiate and oversee performance of service and vendor contracts.

 Prepare monthly operation reports.

 Monitor compliance with legal and contractual requirement of owners, contractors, and tenants.

Financials and Budget:

 Prepare annual budget and operating expense reconciliation in coordination with Board. Report to Board and HOA at annual meeting.

 Collect and deposit monthly maintenance and/or assessments, send delinquent notices according to policies and report to Board.

 Send all billings and collect special assessment to cover building maintenance, upgrades with the approval of the Board and or HOA.

 Pay all obligations of association as provided for in the budget and monitor expenses.

 Coordinate monthly budget report with Board Treasurer and present to the Board of Directors at monthly meetings.

 Coordinate with CPA all necessary tax and corporate forms.

 Working knowledge of Quickbooks is desirable.

Administrative – Supervisory:

 Obtain a minimum of three (3) proposals (bids) from all service and or vendor contracts.

 Maintain good relations and communicate with residents, guests, employees and service contract personnel.

 Review all correspondence from the building office prior to its dissemination.

 Conduct annual review of all staff and review with appropriate Board committee.

 Oversee engineering, maintenance department and staff.

 Coordinate and consult with Board on all ongoing maintenance activities at the monthly Board meetings.

 In coordination with the Master Planning Committee initiate a long-term master plan to plan ahead for major building needs, such as painting, roofing, resurfacing of drives, correcting functional obsolescence of equipment, etc. Supported by a reserve fund study and present review with Board annually.

 Advise Board of Directors on needed policy, procedural, emergency, or bylaws updates, in coordination with legal counsel. Make recommendations or changes to the Board of Directors, as appropriate.

 Advise Board of Directors of changes in State Laws, in coordination with legal counsel.

 Review and obtain bids for all insurance coverage of the building, board types of coverage, limits of liability, deductible, etc. Obtain Board’s approval, place insurance, process and follow through on insurance claims.

 Coordinate issuance of any forms having to do with resale of property in the building and collect transfer fees, resale fees and refinance fees. Update listings and sales of units.

 Consult with Board of Directors on enforcement of the Rules and Regulations of the building. Follow through with enforcement on advice of Board of Directors.

 File liens when necessary.

 File with state and local authorities, as required, all Association Dedicatory instruments.

 Oversee preparation of agendas and materials for all HOA monthly and annual meetings.

 Attend HOA Board of Directors monthly and annual meetings.
