Full Job Description

Position Summary

Sundell System is seeking a highly organized and detail-oriented Import Documentation Coordinator to support our growing U.S. operations.

This position is primarily responsible for coordinating U.S. import documentation and shipment activities, ensuring timely customs clearance and accurate documentation throughout the import process.

As a growing startup, this role will also provide administrative support to the sales team and assist with general business operations as needed. The ideal candidate is proactive, adaptable, and enjoys working in a collaborative environment.

Essential Duties & Responsibilities

Import Documentation & Logistics (Primary Responsibility)

Prepare, review, and maintain import documentation, including:

Commercial Invoices
Packing Lists
Bills of Lading
Certificates of Origin
Shipping Instructions
Other import-related documentation

Coordinate with overseas suppliers, freight forwarders, customs brokers, carriers, trucking companies, and warehouses to ensure timely shipment and customs clearance.

Track inbound shipments and proactively communicate shipment status.

Monitor delivery schedules and resolve shipping and documentation issues.

Ensure all import documentation complies with company requirements and applicable U.S. import regulations.

Maintain complete and accurate shipment files and import records.

Coordinate receiving documentation and delivery appointments.

Support inventory receiving documentation and shipment reconciliation.

Communicate with suppliers to ensure timely shipment preparation and document accuracy.

Maintain organized electronic and physical import documentation.

Sales Support

Support the Business Development Manager with administrative and sales coordination activities.
Track customer inquiries, RFQs, quotations, purchase orders, and sales opportunities.
Maintain customer information and sales records in the CRM system.
Assist with quotations, order processing, customer communications, and sales reporting.
Support customer meetings, trade shows, and other business development activities.

Business Administration

Maintain company records, filing systems, and operational documentation.
Prepare business correspondence, reports, and meeting materials.
Coordinate internal meetings, vendor communications, and office administration.
Support document control, special projects, and other administrative duties as assigned.

Qualifications

Required

Minimum 1 year of experience in U.S. import documentation, international logistics, or import operations.

Hands-on experience preparing and managing import documentation, including:

Commercial Invoices
Packing Lists
Bills of Lading
Certificates of Origin

Experience coordinating with:

Freight Forwarders
Customs Brokers
Overseas Suppliers
Warehouses

Excellent organizational skills and strong attention to detail.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office, particularly Excel, Word, Outlook, and Teams.

Ability to manage multiple priorities in a fast-paced environment.

Preferred

Experience supporting sales operations or customer service.

Experience using CRM and/or ERP systems.

Experience in manufacturing, industrial products, construction materials, or international trade.

Experience working in a startup or small business environment.
