POSITION OVERVIEW: As an Administrative Assistant at LJA Business Solutions, you will be responsible for support for day-to-day activities of the various workgroups.

A TYPICAL DAY MIGHT INCLUDE:

Assists with organizing department initiatives, events, and leadership meetings as required
Manage and maintain the Corporate Controller’s calendar, including scheduling meetings, prioritizing conflicts, and coordinating across departments
Organize and prepare materials for meetings, including agendas and supporting documentation
Makes travel, conference and seminar arrangements (flights, hotels, transportation, itineraries)
Assists with travel expense reports and documentation as needed
Draft, format, and distribute communications to the accounting department on behalf of the Controller
Assists with ordering routine supplies for accounting department
Assists with scheduling conference rooms for meetings and setup of beverages and food
Handles administrative tasks as and when required
Other tasks, as assigned

REQUIRED EDUCATION/LICENSE/CERTIFICATIONS:

Associates Degree preferred or experience in industry

REQUIRED QUALIFICATIONS:

2+ years of experience
Strong Excel, Word, Outlook and PowerPoint knowledge
Must be dependable and possess sense of urgency
Previous experience in an engineering consulting firm strongly desired
Excellent proofreading and editing skills
Strong written and verbal communication skills
Ability to work effectively in a team environment; ability to accurately work under pressure in meeting deadlines
