Full Job Description

THIS ROLE INVOLVES SERVING AS A FRONT OFFICE CLERK WHILE ALSO HANDLING TEACHER ASSISTANT DUTIES AS NEEDED.

A general clerk performs a variety of essential administrative tasks to support students, including assisting with admissions, registration, and records management, and providing information and guidance on student services. The position includes, but is not limited to, answering phones, filing documents, and managing correspondence. This position maintains organized records, prepares reports, handles mail, and provides general support to other staff to ensure smooth office operations. Key skills for this role include proficiency in office software, attention to detail, and strong communication and organizational skills. The position often collaborates with other staff members to support the team in the Lobby area, as scheduled or as required.

A teacher assistant supports a lead teacher in managing a classroom. Also called teacher aides, these professionals reinforce lessons by tutoring individual students or small groups. Their responsibilities include, but are not limited to, interacting with students, supervising projects, creating lesson plans, documenting progress, and overseeing lesson preparations. A Special Education (SPED) Teacher Assistant works under the supervision of a certified special education teacher to provide academic, behavioral, and personal care support to students with disabilities. Their primary goal is to foster a safe, inclusive, and productive learning environment that helps students achieve their individualized Education Program goals. The teacher assistant's duties may also include personal care and safety, such as assisting students with personal hygiene, including toileting, diapering, feeding, and grooming. This may involve lifting, positioning students, and managing mobility devices like wheelchairs. This role can be emotionally and physically demanding, often requiring intensive care for students with severe behavioral or medical needs.

ESSENTIAL FUNCTIONS – GENERAL CLERK AND STUDENT SERVICES

Schedule Appointments: For Students and Other Staff Members.
Administrative Support: Handle general office duties, including answering phones, sorting and distributing mail, and greeting visitors.
Provide Information and Guidance: To students on various student services, including registration, counseling, financial aid, and other resources.
Greet Visitors and Assist Students and/or Parents: Completing forms and applications.
Lobby Area: Work in the Lobby area, as scheduled or required, to support the team.
Attendance: Assist with attendance and enrollment processes.
Student Files: Assist in maintaining active and inactive student files.
File and Copy: Various types of documents and reports.
Record and File Management: Maintain accurate and organized filing systems, both physical and digital. This includes ensuring documents are properly filed and easily retrievable.
Data Entry: Enter data into spreadsheets, databases, and other software programs.
Document Preparation: Assist with preparing reports, presentations, and other correspondence.
Scheduling: Help schedule appointments and manage staff calendars.
Office Supplies: Monitor and help manage office supplies and inventory.
Communication: Interact with other departments to support the overall workflow.
Other Duties: Perform other administrative and clerical tasks as needed or required.

ESSENTIAL FUNCTIONS – TEACHER ASSISTANT

Prepare classroom equipment and instructional materials for lessons.
Perform recordkeeping duties associated with the classroom.
Instruct students in proper classroom procedures and behavior.
Collaborate with teachers and parents regularly on student progress.
Adapt instructional materials as necessary to meet special education guidelines.
Other Duties: Perform other duties as a Teacher Assistant as needed or as required.

REQUIRED PERSONAL SKILLS

Experience working with students of various ages, backgrounds, and ability levels.
Experience with basic computer word processing and spreadsheet programs is required.

REQUIRED QUALIFICATIONS AND SKILLS

Excellent communication skills.
Patience when dealing with students of varying abilities and backgrounds.

REQUIRED EDUCATION, CERTIFICATION, AND EXPERIENCE

Preferred: Two years of college coursework or an associate degree in education or a related field.
Preferred: Experience in a similar role.
