Full Job Description

We are seeking a warm, professional, dependable, and client-focused Client Advocate to be the first point of contact for our clients. This role is responsible for creating a welcoming experience, managing front-desk operations, supporting client communication, and helping the reception team maintain a professional and organized environment.

The ideal candidate is friendly, organized, detail-oriented, comfortable communicating with clients by phone and in person, and able to work effectively as part of a team.

Key Responsibilities

Client Experience & Front Desk Support

Greet clients warmly and professionally and check them in upon arrival.
Offer beverages and ensure clients are comfortable while waiting.
Notify the appropriate staff member when a client arrives.
Assist clients with check-out and provide support after appointments.
Create a welcoming, respectful, and professional client experience.

Phone & Communication

Answer incoming calls promptly and professionally.
Direct calls to the appropriate team member.
Take accurate messages and respond to basic client questions.
Check and return voicemails as directed.
Communicate clearly and professionally with clients and team members.

Reception Area & Office Maintenance

Keep the lobby and reception area clean, organized, and presentable throughout the day.
Restock brochures, water, tissues, and other reception supplies.
Monitor inventory and notify the Lead Client Advocate when supplies are running low.
Help restock pens, forms, and other office materials.
Maintain a welcoming environment for clients and visitors.

Team Support & Collaboration

Participate in daily huddles or team briefings led by the Lead Client Advocate.
Assist with training new reception team members through shadowing, demonstration, and guidance.
Provide front-desk coverage when teammates are absent or unavailable.
Communicate promptly with the Lead Client Advocate regarding client needs, scheduling concerns, or front-desk issues.

Qualifications

Previous experience in reception, customer service, hospitality, administrative support, or a similar client-facing role preferred.
Excellent interpersonal and communication skills.
Professional, friendly, and approachable demeanor.
Strong attention to detail and organizational skills.
Ability to handle multiple tasks while maintaining a positive client experience.
Dependable, punctual, and able to work collaboratively with a team.
Comfortable answering phones and communicating with clients in person.
Ability to maintain confidentiality and professionalism when handling client information.
Basic computer and office technology skills.

Physical Requirements

Ability to sit and/or stand for extended periods while performing front-desk duties.
Ability to regularly walk throughout the reception and office areas.
Ability to bend, reach, stoop, and occasionally kneel to retrieve or restock supplies.
Ability to lift and carry office and reception supplies weighing up to 25 pounds.
Ability to use a computer, telephone, printer, and other standard office equipment for extended periods.
Ability to maintain a professional and attentive presence throughout the workday.

Pay: $19.00 - $22.00 per hour
