Full Job Description

We are seeking a highly organized, detail-oriented individual with a sense of urgency to join our team as a Document & Mailroom Coordinator. In this role, you will manage mailroom operations, document processing, and vendor relationships to keep our business running efficiently.

Key Responsibilities

Mailroom Operations

Manage all incoming and outgoing mail and packages, including courier deliveries and pick-ups

Document Management

Collect, sort, prepare, and scan documents
Label and enter documents into the system, ensuring accuracy and quality
Perform post-scanning quality checks and file original records

Financial Support

Print and scan checks for deposit for Escrow and Commission teams

Vendor & Inventory Management

Maintain relationships with courier services (UPS, USPS, FedEx)
Track mail and UPS invoicing using Excel
Order and maintain office supplies and stockroom inventory

Other Duties

Provide coverage for other business service functions as needed

Qualifications

High School diploma required
1–2 years of experience in a similar role
Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams)
Ability to learn new software quickly
Strong organizational and communication skills with keen attention to detail
Comfortable with light physical activity, including lifting to 25 lbs. occasionally
Regular, predictable attendance is essential
