Job Title: Office Manager (Construction Industry Experience Required)

Job Summary
The Office Manager oversees daily administrative operations for a multi-state, multi-entity construction and internet service organization. This role is responsible for providing executive support by supervising administrative staff, managing contracts & vendor relationships, ensuring efficient office workflows, and maintaining a streamlined, organized, and professional work environment.
The position plays a key role in document preparation, contract coordination, compliance tracking, and internal communication. The Office Manager ensures that all administrative processes, documentation, and reporting are accurate, timely, and aligned with company standards and regulatory requirements.
Key Responsibilities
Executive & Office Support (30%)
- Supervise and coordinate the daily activities of administrative staff (approximately 3 team members)
- Ensure the office environment is organized, professional
- Monitor task completion and ensure team accountability for assigned responsibilities
- Assist in preparing reports, presentations, and internal communications
- Support general administrative and office functions as needed including inbox management, travel arrangements, managing vendor relationships, etc.
Operations Support (30%)
- Track and manage workflows, tasks, and deadlines using Monday.com (required)
- Ensure adherence to company policies, procedures, and applicable rules and regulations
- Coordinate communication between office staff, field teams, and leadership
- Bridge any gaps between office staff, administrative team & operations
Contracts Management (40%)
- Review, proofread, and edit contracts, forms, and official documents for accuracy and completeness
- Prepare and assemble contracts, agreements, and supporting documentation
- Read and verify forms and compliance-related documents
- Maintain organized filing systems for contracts, compliance documents, and company records
- Serve as a professional point of contact for clients and the public
Qualifications & Requirements
- 5+ years of office management or administrative leadership experience
- 3+ years of construction industry experience (required)
- Experience supervising or coordinating administrative staff
- Proficiency with Monday.com (required)
- Strong document review, proofreading, and contract preparation skills
- Ability to read and interpret forms, contracts, and compliance documentation accurately
- Excellent organizational and multitasking abilities in a deadline-driven environment
- Strong written and verbal communication skills with a high level of professionalism and polish
- Ability to interact effectively with clients, vendors, and the public
- Demonstrated ability to work both independently and as part of a team
- Strong commitment to maintaining a respectful, compliant, and well-regulated workplace
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint and Outlook)
- High level of integrity and ability to handle confidential information
