Assistant Manager (Operations & Systems) — Full-Time

West Kingston Recycling is a locally operated scrap metal recycling company proudly serving customers throughout the Hudson Valley. We specialize in responsible scrap metal processing while delivering reliable, detail-oriented customer service. Many of our customers have worked with us for years, and we value professionalism, accuracy, and strong customer relationships in every interaction. At West Kingston Recycling, every role plays an important part in ensuring our customers receive dependable service and a positive experience.

Position Overview

West Kingston Recycling is seeking a highly organized and experienced Assistant Manager (Operations & Systems) to support and strengthen our day-to-day office and yard coordination. This role is ideal for someone with a strong systems and office management background who can maintain smooth operations, manage office processes, support technology and recordkeeping, and serve as a key point of communication between the front office, back office, and scrap yard operations.

Key Responsibilities

Oversee and improve daily office systems, workflows, and administrative operations
Maintain accurate records, digital files, customer information, and internal documentation
Manage and support company IT systems and office technology to keep operations running efficiently
Serve as a liaison between the front office, back office, and scrap yard team to ensure strong communication and coordination
Provide high-level customer support and help resolve customer questions or issues professionally
Support scheduling, service coordination, and operational organization as needed
Assist with management of the front office team, including training, guidance, and performance support
Maintain and organize Google Drive systems, shared folders, and internal forms/documents
Use advanced Excel and Google Sheets for tracking, reporting, data organization, and process improvement
Support basic website management and updates to help keep company information current
Ensure the office remains organized, compliant with internal procedures, and operating at a high standard

Qualifications

2–3+ years of office management experience (required)
Strong systems background with experience improving and managing office operations
Advanced experience with Excel and Google Drive / Google Workspace (required)
Strong understanding of digital recordkeeping, filing systems, and process organization
Comfortable managing office technology, troubleshooting basic IT needs, and maintaining internal systems
Excellent customer service and communication skills
Proven leadership skills with the ability to support and manage a team
Highly detail-oriented, dependable, and able to multitask in a fast-paced environment
