Full Job Description

Front Office Administrator

We are seeking a dependable, organized, and professional Front Office Administrator to join our team. This position is an important part of our day-to-day operations and will serve as one of the primary points of contact for our clients.

The ideal candidate is friendly and professional, comfortable working in a busy office environment, able to manage multiple priorities, and has experience with general office administration, payroll, and accounts receivable.

Primary Responsibilities

Answer and direct incoming phone calls in a professional and courteous manner
Monitor and respond to client emails
Greet clients and assist with front-office needs
Check in incoming client jobs, documents, and information and ensure they are properly routed
Maintain organized client records and track outstanding items
Perform general administrative and clerical duties
Assist with scheduling, correspondence, scanning, filing, and document management
Work with Microsoft Office, including Word, Excel, and Outlook
Prepare and maintain Excel spreadsheets
Assist with payroll processing and payroll-related administrative tasks
Assist with accounts receivable, including invoicing, recording payments, and following up on outstanding balances
Communicate with clients regarding missing information and outstanding items
Assist professional staff with administrative projects as needed
Maintain confidentiality of client and company information

Qualifications

Previous administrative or front-office experience preferred
Payroll experience or working knowledge of payroll is strongly preferred
Experience with accounts receivable and basic bookkeeping/accounting functions
Proficient with Microsoft Word, Excel, and Outlook
Strong computer skills and ability to learn new software
Excellent written and verbal communication skills
Strong organizational and time-management skills
High attention to detail and accuracy
Ability to prioritize multiple assignments and follow through to completion
Comfortable communicating with clients by phone and email
Dependable, punctual, and professional
Ability to work independently while also being part of a team

We are looking for someone who takes ownership of their responsibilities and understands the importance of keeping an office organized and moving efficiently. This position requires someone who is proactive, detail-oriented, dependable, and comfortable following up with both clients and coworkers.

Because our office handles confidential financial and client information, professionalism, discretion, and confidentiality are essential.

Experience: Administrative, payroll, accounts receivable, or accounting-office experience preferred
