Full Job Description

We are seeking an experienced, organized, and patient-focused Dental Office Manager & Treatment Coordinator to lead front-office operations while guiding patients through their treatment journey. This role blends practice management, team leadership, financial coordination, and patient communication to ensure smooth daily operations and exceptional patient experience.

The ideal candidate is proactive, detail-oriented, confident in financial discussions, and capable of managing both people and processes in a fast-paced dental environment.

Key Responsibilities

Office Management & Leadership
Oversee daily front-office operations, scheduling, and patient flow
Supervise and support front desk, treatment coordinators, and administrative staff
Train, coach, and hold team members accountable to office protocols
Ensure compliance with HIPAA, OSHA, and practice policies
Monitor KPIs including production, collections, case acceptance, and scheduling efficiency
Act as liaison between clinical team and administrative staff
Handle patient concerns and escalations professionally and efficiently

Treatment Coordination & Case Presentation

Present treatment plans clearly, confidently, and compassionately
Educate patients on recommended procedures, sequencing, and benefits
Review fees, insurance estimates, and financial options with patients
Coordinate phased treatment and follow-up appointments
Track case acceptance and follow up on pending treatment
Build trust and long-term relationships with patients

Financial & Insurance Coordination

Verify insurance benefits and explain coverage accurately
Manage financial arrangements, payment plans, and third-party financing
Ensure accurate billing, claims submission, and follow-ups
Maintain high collection rates and minimize outstanding balances
Review EOBs and resolve insurance discrepancies

Scheduling & Systems Optimization

Maintain efficient doctor and hygiene schedules
Reduce gaps, last-minute cancellations, and no-shows
Implement systems to improve workflow and patient experience
Utilize practice management software effectively (Dentrix, Open Dental, etc.)

Required Qualifications

Minimum 3–5 years experience in a dental office management or treatment coordinator role
Strong understanding of dental procedures, terminology, and workflows
Proven experience in treatment plan presentation and financial discussions
Excellent leadership, communication, and interpersonal skills
Highly organized with strong attention to detail
Comfortable handling sensitive patient and financial information
Ability to multitask, prioritize, and work independently

Preferred Qualifications

Experience managing a growing or multi-provider dental practice
Knowledge of PPO, and fee-for-service models
Experience with dental analytics and performance tracking
Bilingual (English/Spanish) a plus
Experience in growing Implant centers is preferred
