Full Job Description

Individual will aid with the Front of House operations as a Guest Services Supervisor and manager on duty. As a Guest Services Supervisor, the position will require the individual to perform a variety of responsibilities including roles in accounting, front desk service, bellmen service, reception, concierge, in-house dinning, valet, reservations and covering shifts on the overnight. They are to provide the guest(s) with the highest level of service possible, while maintaining the Preferred and Forbes 4 Star standards of service and reputation of Fifteen Beacon.

Responsibilities:

Supervise Front Office Staff as well as Bellmen, Doormen, and Drivers.
Recognize guests, develop professional relationships with them and use their surnames as often as is appropriate.
Complete the daily responsibilities of the perspectives shift’s tasks and procedures including auditing daily reports.
Provide supervision and direction during hotel emergencies.
Maintain constant awareness of hotel operations (occupancy, arrivals, departures, VIP guests, amenities, etc.).
Resolve all guest requests, needs, issues, and complaints during the shift.
Complete a shift checklist and end of shift Manager on Duty (MOD) report.
Assist all arriving and departing guests through the check-in and check-out process.
Take reservation calls and monitor reservation channels when the Reservations Department is absent.
Answer incoming calls and direct them to the appropriate extension.
Responsible for providing personalized guest service when assisting with luggage transportation, directions and any other guest requests.
Maintain current and complete information on relevant Boston area restaurants and nurture business relationships to obtain reservations on short notice.
Maintain listings of current and future theatrical performances, museum exhibitions, concerts and other notable events while having the contacts to obtain tickets on short notice.
Maintain adequate supply of Boston area maps and guide books to have strong familiarity with them.
Maintain database of all services which guests might need including, but not limited to, translation assistance, babysitters, religious services, tailors, retail stores, museums, attractions, theatres, restaurants, shopping, tours.
Be familiar with preferred service vendors of Fifteen Beacon and utilize them first. Only use secondary vendors when preferred vendor is unable to provide appropriate service. Coordinate limousine service and rental cars for guests.
Coordinate selection and purchase of flower arrangements for guests.
Handle all outgoing mail, courier and delivery packages daily.
Coordinate activities of drivers, bellmen and doormen informing them of special guests and group arrivals at beginning of each shift.
Ensure that luggage delivery, retrieval and storage is handled expediently and securely.
Ensure that drivers, bellmen and doormen maintain standards of service, performance and appearance at all times.
Handle all requests of hotel managers as needed
Complete incident reports as needed and distribute accordingly
Inform managers of all exceptional actions of guest service by fellow employees.
Responsible for maintaining the cleanliness of the hotel lobby as well as the safety and security of hotel guests/employees.

Abilities:

Communicate in English in a clear, concise, grammatically correct, pleasant and sincere manner.
Effectively deal with internal and external customers who will require the highest level of customer service with patience and tact.
Understand and practice the policies of Fifteen Beacon.
Handle multiple tasks with poise, accuracy and timeliness.
Use good judgment at all times.
Carry out all requests correctly, creatively and expediently.
Work independently as well as take ownership on delegated projects.

Skills & Qualifications:

Familiarization with Opera Cloud and ALICE is a plus.
Exceptional detail and time management skills.
Excellent cashier skills.
Excellent oral and written communication skills.

Job Requirements

Minimum of one year hotel operations experience or hotel related experience or service industry is a plus.
Excellent Communication skills: must be able to speak, read, write, and understand the primary language(s) used in the hotel and by guests who frequently visit the hotel.
Physical: requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, visual acuity, hearing, writing, and excellent speaking ability.
Technical: must have strong computer skills. Knowledge of Microsoft Word, Excel, and managing a database is a plus.
Flexible scheduling (Overnight required)
