Overview

We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily business functions in a fast-paced environment.

Duties

Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive experience from the moment they arrive
Manage multi-line phone systems to handle incoming calls efficiently, directing inquiries to appropriate departments or personnel
Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and Marriott Interfaces.
Schedule appointments, manage calendars, and coordinate meetings to optimize office productivity and guest communication
Handle clerical tasks including proofreading documents, preparing Word processing files, and managing correspondence with attention to detail
Support office management activities such as inventory control, supply ordering, and basic bookkeeping with Property PMS
Assist with client communication via phone or email, providing support and information while practicing excellent phone etiquette

Skills

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and data entry tools
Technical proficiency with computer literacy including familiarity with productivity software and office equipment
Excellent customer service skills with the ability to communicate clearly via phone and in person
Bilingual abilities are highly valued for effective client communication in diverse environments
Experience with front desk operations in medical or dental settings is a plus but not required
Strong time management skills to prioritize tasks efficiently while maintaining accuracy in clerical work
Knowledge of office procedures such as filing systems, proofreading documents, and calendar management
Ability to handle multiple responsibilities simultaneously while maintaining professionalism and composure
