Make an Impact:
The Facilities Systems Specialist supports the administration and optimization of facilities operations technology systems used to maintain safe, reliable, and compliant operations across company facilities. This role supports the Computerized Maintenance Management System (CMMS), facilities asset databases, and physical security systems such as badge access control and surveillance technologies. Working closely with Facilities Operations, Engineering, IT, and Security teams, the Facilities Systems Specialist helps ensure that maintenance activities, asset records, and facilities data are properly maintained within enterprise systems such as IBM Maximo. This role contributes to reliable facility operations and supports preventive maintenance programs required to maintain GMP manufacturing environments.
What You’ll Do:
CMMS / Maximo Administration
- Maintain equipment records, job plans, asset hierarchies, and preventive maintenance schedules within the CMMS platform.
- Assist with logging and maintaining work orders, maintenance documentation, and system reporting.
- Provide user support for facilities staff utilizing CMMS systems.
- Ensure maintenance history and equipment lifecycle records are accurately maintained.
Facilities Systems Support
- Support administration of facilities systems used to manage maintenance operations and asset data.
- Assist with system configuration updates and testing during upgrades.
- Support reporting and analytics related to maintenance performance.
Physical Security Systems
- Assist with administration of badge access systems and video surveillance technologies.
- Support employee access provisioning and removal during onboarding/offboarding.
- Maintain records of access permissions and security system documentation.
Facilities Operations Support
- Assist facilities teams with documentation of maintenance activities within the CMMS.
- Support preventive maintenance scheduling and equipment onboarding.
- Assist with tracking contractor maintenance activities and performance metrics.
Compliance & Data Integrity
- Maintain accurate system data supporting equipment maintenance and asset lifecycle management.
- Follow established SOPs and documentation practices supporting GMP compliance.
- Assist with maintaining audit readiness of facilities records.
What We’re Looking For:
- 8+ years of related experience
- Proficiency in facilities engineering, project management, and knowledge of building systems.
- Familiarity with computer-aided design (CAD) software.
- In-depth understanding of local, state, and federal regulations related to facilities management.
- Excellent communication and interpersonal skills, with the ability to communicate technical information to diverse audiences.
- High School Diploma required
- Bachelor’s degree in Engineering, Facilities Management, Information Systems, or related field preferred.
