Office Coordinator Job Description

Intro Paragraph:

At the Huntington County Humane Society, we’re seeking a skilled office Coordinator to join our team. In this role, you’ll oversee daily office operations, manage administrative tasks, and support the smooth functioning of our office. We are looking for someone with excellent organizational and communication skills, as well as a commitment to maintaining a positive and efficient workplace. At the Huntington County Humane Society, our staff are committed to our number one value: Animal Care Come FIRST! All staff keep this value in front of them when making decisions, handling animals, cleaning kennels, and conducing routine chores. We also deliver on this value by ensuring that all of all of our processes and procedures align. This includes office organization, customer relations, and accurate and timely data entry.

Office Coordinator Job Responsibilities:

Support organization operations by maintaining office systems and procedures, managing correspondence, maintaining filing systems and equipment procurement.
In collaboration with the executive director, create and implement a system to coordinate both shelter volunteers and fosters that includes training, scheduling, and regular contact.
Regularly meet with executive director to coordinate shelter calendar events and activities.
Foster shelter-wide communication by facilitating and maintaining a shelter calendar.
Assist with other shelter duties and animal care as needed.

Office Coordinator Qualifications and Skills

· Proficiency with common office software and customer relationship management tools (Microsoft Word, Excel, G Suite Applications, Animal Shelter Coordinator Database)

Ability to multitask, prioritize to-dos, and maintain an organized office environment.
Strong written and verbal communication skills to interact with employees and the public effectively.
Ability to identify and resolve issues related to office operations, facilities, or staff.
Builds relationships with colleagues, manages conflict, and fosters a positive office environment.
Ensuring accuracy in documentation, financial transactions, and other administrative tasks.
Ability to manage budgets, track expenses, and ensure financial compliance.
Efficiently manages time and deadlines to ensure smooth office operations.
Ability to plan and coordinate office projects, such as office moves, events, or technology upgrades.
Comfort with changing priorities and a dynamic work environment.

Education and Requirements:

High school diploma, GED, or equivalent
Two to three years’ experience in an office setting
