Assistant Community Manager

Reports To: Community Manager
Classification: [Exempt/Non-Exempt]

Position Summary

The Assistant Community Manager is a professional, organized, and service-oriented team member responsible for supporting the day-to-day operations, financial performance, leasing activity, and resident experience of a multifamily community.

Working closely with the Community Manager, the Assistant Community Manager helps ensure the community operates efficiently, residents receive a high standard of service, leasing and administrative functions are completed accurately, and established policies and procedures are consistently followed.

This position serves as a key member of the onsite leadership team and is expected to demonstrate a commitment to speed, skill, and stewardship while supporting a culture of integrity, performance, accountability, and service.

Key ResponsibilitiesCommunity Operations & Leadership

Support the Community Manager in the daily operation and overall performance of the community.
Assist with implementation of community policies, operational procedures, and company standards.
Help maintain organized and accurate resident, leasing, financial, and operational records.
Coordinate with maintenance personnel, vendors, residents, prospects, and other team members to support effective community operations.
Assist with vendor coordination and invoice processing in accordance with company policy.
Identify operational or resident concerns and escalate matters to the Community Manager when appropriate.
Assume additional onsite responsibilities and provide operational continuity in the Community Manager’s absence.

Leasing & Marketing

Greet prospective residents, identify housing needs, conduct community and apartment tours, and assist in converting qualified prospects to residents.
Process rental applications, required screenings, lease documentation, and related leasing paperwork accurately and in a timely manner.
Maintain knowledge of apartment availability, pricing, lease terms, community amenities, and current leasing activity.
Follow up with prospects and support leasing goals established for the community.
Assist with community marketing initiatives, outreach efforts, and other activities designed to generate qualified traffic.
Support an attractive, professional, and welcoming leasing environment.

Resident Relations & Retention

Provide prompt, professional, and courteous service to residents.
Respond to resident questions, concerns, and service-related issues and coordinate appropriate follow-up.
Build positive resident relationships while consistently applying community policies and lease requirements.
Monitor upcoming lease expirations and assist with the renewal process, including notices and resident follow-up.
Support resident retention efforts and help create a positive community experience.
Maintain confidentiality and professionalism when handling resident information and sensitive matters.

Financial & Administrative Responsibilities

Collect and accurately post resident payments.
Prepare deposits and maintain accurate resident account records and ledgers.
Assist with monitoring delinquent accounts and resident balances in accordance with company procedures.
Prepare, distribute, and track required notices and related resident correspondence.
Review files and documentation for completeness, accuracy, and compliance.
Assist with invoice processing, administrative reporting, and other financial or operational documentation as assigned.
Support the Community Manager with routine administrative functions necessary for the effective operation of the property.

Compliance & Risk Management

Maintain resident and applicant files in accordance with company standards and applicable requirements.
Support compliance with lease agreements, community policies, Fair Housing requirements, and applicable procedures.
Handle applicant and resident information with appropriate confidentiality.
Promptly communicate potential compliance, safety, resident, or operational concerns to the Community Manager.
Perform responsibilities consistently and fairly while maintaining professional boundaries with residents, prospects, vendors, and team members.

Qualifications

High school diploma or equivalent required; some college education preferred.
At least one year of apartment leasing, multifamily housing, property management, customer service, or comparable experience preferred.
Fair Housing Certification or willingness to obtain certification.
Strong organizational, administrative, customer service, and communication skills.
Ability to manage multiple priorities, meet deadlines, and maintain attention to detail in a fast-paced environment.
Professional judgment and ability to appropriately handle confidential or sensitive information.
Proficiency in Microsoft Office and familiarity with property management software.
Ability to work independently while collaborating effectively with the onsite team and leadership.
Ability to work a flexible schedule, including weekends as needed.
Must satisfy company background screening and drug-screening requirements.
