Educational and Experience Requirement

Associates degree in related field. Two years relevant administrative assistant experience or experience in a related field. Experience in social media management, marketing, customer service, administrative support, or clerical work is preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position

Performs administrative assistant duties for the Department of History.

Primary Responsibilities

Performs general clerical duties, including document processing, filing, and data entry. Verifies and maintaining accurate records and departmental files. Provides receptionist support by greeting visitors, answering and directing phone calls, and assisting walk-in inquiries. Schedules appointments, meetings, and departmental events. Coordinates event logistics, including reserving meeting spaces, ordering catering, and creating promotional materials. Manages the department’s social media platforms by promoting departmental events, faculty work, academic programs, and newsletters. Prepares and maintaining routine departmental reports, including P-Card documentation, textbook adoptions, and semester syllabus reviews. Receives, sorts, and distributes departmental mail. Orders office and departmental supplies. Maintains inventory, restocking supplies, and ensuring common areas remain organized and presentable. Resolves routine administrative issues. Performs other related duties as assigned.

Other Specifications

Knowledge of general office and clerical procedures. Proficiency in Microsoft Office and other standard office software, including word processing. Proficiency in Canva, Photoshop, or Adobe Express is preferred. Familiarity with social media platforms and basic marketing principles. Strong customer service and communication skills. Excellent organizational skills with a high level of accuracy in data entry, recordkeeping, and document management. Ability to operate standard office equipment and manage multiple tasks in a fast-paced environment.
