TITLE: Office Manager

REPORTS TO: Company Leadership

JOB OVERVIEW:

Seeking a self-motivated, experienced office manager to carry out and manage a wide range of office operations and customer service in support of our highly active small business. This opportunity requires an individual comfortable with working independently and who is capable of critical thinking, confident decision making, and diligent follow through. Strong business acumen, a high level of accountability, excellent communication skills, keen attention to detail, and the ability to be flexible in a dynamic work environment are essential to success in this position. The office manager will work directly with the company owner, office staff, and crew members to ensure sound and efficient office operations and support the company’s success and growth. The office manager is an essential part of our team and must be committed to helping run our small business as if it were their own.

This is a full-time salaried position with benefits including medical, dental, matched 401(K) and paid time off.

DUTIES AND RESPONSIBILITIES:

Customer Service & Sales Support

Help manage sales process from initial customer contact through invoicing using vigilant organization skills and communication with customers, company owner, and staff
Assist with development of accurate and professional sales proposals and contracts and related coordination with staff and customers
Diligently manage and ensure accuracy of all job costing paperwork including labor timesheets, materials invoices, etc.
Manage customer relationships via phone and email, professionally engaging with customers to provide excellent customer service
Maintain highly accurate customer contact database
Prepare and coordinate COIs, waivers, warranty letters, and similar business correspondence

General Office Administration

Work with company leadership to ensure needs of all customers, employees, vendors, and associates are met on a timely basis and in a respectable manner
Ensure office operates smoothly and efficiently; recommend and implement process improvements to enhance efficiency of office and business operations
Develop office policies and procedures, and ensure they are implemented appropriately
Collaborate with and delegate tasks to other office employees
Organize and diligently maintain all company files, processes, templates, etc.
Provide general administrative support including scheduling meetings, maintaining calendars, keeping basic office inventory, doing research, and creating reports
Assist with bookkeeping as needed for payroll processing, etc.
Coordinate vendor agreements, equipment leases and replacements, etc.
Maintain a professional and orderly office environment, stock basic supplies, etc.

Human Resources

Help administer and manage company policies, processes, and training
Facilitate employee recruitment including posting job openings, processing new applicants, and on-boarding new hires
Diligently maintain all employee personnel files
Assist with company insurance, health insurance and other benefits, including gathering quotes on an annual or as needed basis
Help manage and motivate employees to support company goals

QUALIFICATIONS AND REQUIREMENTS:

Minimum 2-year business administration degree or equivalent experience
5+ years comprehensive office management experience
Proficiency in Microsoft Office and QuickBooks software
Must be self-driven, reliable, and accountable
Must thrive and be highly effective while working independently
Excellent organization, prioritization, and time management skills
Superb commitment to following tasks through to completion
Clear, efficient, and professional verbal and written communication skills
Excellent customer service and interpersonal skills; ability to maintain professional attitude under pressure
Spanish speaking is not required but would be beneficial

Job Type: Full-time

Pay: $60,000.00 - $80,000.00 per year
