Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
Operate multi-line phone systems, directing calls accurately and courteously
Maintain organized filing systems, both physical and digital, ensuring quick retrieval of documents
Handle data entry tasks using Microsoft Office, Google Workspace, and other office software with precision
Support bookkeeping activities using QuickBooks or similar accounting tools to track expenses and invoices
Assist with calendar management and scheduling appointments for staff or executives
Provide excellent customer support by addressing inquiries via phone or email promptly and effectively
Perform clerical tasks such as proofreading documents, preparing reports, and managing correspondence
Support office management activities including supply inventory, equipment maintenance, and facility coordination
Conduct basic bookkeeping duties to ensure accurate financial records are maintained

Qualifications

Proven experience in an office environment or as an administrative assistant with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with QuickBooks or similar bookkeeping software is preferred
Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong typing skills with high accuracy; attention to detail in proofreading and data entry tasks
Demonstrated ability to manage time efficiently and prioritize tasks effectively
Previous experience as a receptionist, personal assistant, or medical/dental receptionist is advantageous
Knowledge of office management procedures and clerical best practices
Exceptional customer service skills with a friendly, approachable demeanor
