Work Now Staffing is looking to hire an Accounts Payable and Payroll Manager for our corporate office in Wood Dale, IL. Position Summary: The Accounts Payable and Payroll Manager will oversee the daily operational execution of our weekly domestic payroll for 1,000 temporary and internal employees, alongside corporate accounts payable functions. This role balances hands-on processing with the direct supervision of the payroll and billing clerks. The Manager ensures that employee hours flow accurately from Avionté Bold into ADP, handles immediate escalation issues, and maintains strict internal controls.

What You Will Do:

As our Accounts Payable and Payroll Manager, you will supervise our daily operational cycle, ensuring approximately 1,000 temporary and internal employees are paid accurately and on time every week. You will lead a small team of coordinators, oversee the accurate transfer of data from Avionté Bold into ADP, and resolve escalated timecard or billing discrepancies. Working with ownership, you will also keep our corporate accounts payable running smoothly by verifying weekly vendor invoices and preparing disbursement runs.

Payroll Execution & Supervision (60%):

Daily Team Management: Supervise, train, and support payroll coordinators/clerks in their daily tasks. Ensure accurate data entry and adherence to strict weekly deadlines.
Avionté-ADP Data Flow: Audit and validate the weekly transfer of timecards, tax adjustments, and new hire data from Avionté Bold into the ADP platform.
Discrepancy Resolution: Act as the first point of escalation for complex payroll issues, missing hours, tax profile corrections, and client billing/payroll disputes.
Garnishment Processing: Oversee the accurate entry and tracking of multi-state wage garnishments, child support orders, and tax levies within ADP.

Accounts Payable Operations (40%):

AP Processing Oversight: Oversee the full lifecycle of corporate vendor invoices, independent contractor payments, and expense reports.
Weekly Disbursement Runs: Prepare and verify weekly ACH, check, and wire payment batches for approval.
Vendor & VMS Reconciliations: Perform weekly reconciliations between vendor statements, client Vendor Management Systems (VMS), and internal accounting ledgers.

Requirements & Qualifications:

Experience: 3+ years of progressive payroll and accounts payable experience, preferably within a staffing, recruitment, or PEO environment.
Leadership: Minimum 1+ year of direct supervisory or team leadership experience (e.g., as a team lead, supervisor, or senior coordinator).
CRM System Knowledge: Hands-on proficiency with Avionté Bold and ADP is highly preferred.
Scale Comfort: Experience working in an environment with weekly payroll cycles and high-volume data entry.
Skills: Strong Excel skills (VLOOKUPs, Pivot Tables) and sharp attention to detail under tight weekly deadlines.
Geographic Scope: Solid expertise in U.S. domestic multi-state payroll regulations and multi-state tax withholding structures.
