Full Job Description

The Office & Administrative Manager is responsible for managing the books and office administration that will allow ABC Heart of America to grow and fulfill its mission, vision, and strategies. This role independently handles full-cycle accounting tasks such as invoicing, accounts receivable, reconciliation, and reporting. Provides operational support across financial processes and contributes to compliance, budget management, and internal controls.

Additionally, they are responsible for the overall coordination of daily office operations including vendor and file management, managing office systems, and coordinating facility maintenance. Ensure all student and member records are managed in accordance with all compliance requirements.

Responsibilities:

Accounting

· Enter daily receipts and create deposit slips for all entities

· Process purchase orders (POs).

· Scan and archive accounting documents using a document repository (e.g., PSIGen-safe).

· Generate invoices (membership, training, continuing education, etc.).

· Manage credit card and check payments.

· Maintain consistency in general ledger accounts and project accounting details.

· Support audits and budget development with data preparation.

· Monitor budget adherence and report discrepancies.

· Assist with member and student billing.

· Respond to routine financial inquiries and support administrative phone coverage.

· Recommend improvements to accounting processes.

· Use QuickBooks and Excel to perform routine tasks.

· Process accounts receivable and manage collections (includes sending delinquency/compliance letters).

· Reconcile monthly bank and credit card statements; monitor budget variances.

· Maintain general ledger (GL) accuracy and project accounting details.

· Analyze budget variances and support forecasting activities.

· Assist with tax return preparation, audits, and compliance tasks.

· Prepare internal financial reports and respond to financial inquiries.

· Ensure proper documentation and support of accounting entries.

· Identify opportunities for process improvements.

· Perform payroll compliance tasks and quarterly/hourly rate calculations.

· Prepare journal entries, variance analyses, and internal financial controls.

Administration

· Oversee day-to-day office functions and workflow.

· Manage supplies, equipment, vendor relations, and service contracts.

· Implement and maintain filing and record-keeping systems.

· Coordinate maintenance and security of office premises.

· Assist with scheduling meetings and staff calendar management.

· Maintain digital and physical office procedures and SOPs.

· Ensure compliance with office safety and IT procedures.

· Maintain proper records and files providing the office staff with organized and adequate information and resources.

· Perform office tasks including answering telephones, mailing, manual and electronic filing, and ordering office supplies.

Human Resources

· Maintain confidential staff employment files.

· Handle benefits enrollment for all new hires as well as changes in eligibility of contributions

· Assist President, Board and Trustees with other duties as requested.

Work Environment:

· This position is performed in a typical office environment. While performing the duties of this job, the employee is exposed to moving mechanical parts and vehicles. The noise level in the work environment is usually quiet to moderate.
